CRM software for sales has to do three jobs, one for each person who opens it daily. It tells the rep who to call next and records the call in one screen. It shows the team lead that every enquiry has an owner and whose follow-ups are overdue. And it shows the sales head which sources and people turn enquiries into revenue. Judge every option on those three screens.
Most CRM feature lists read like a menu: contacts, pipelines, automation, integrations. That tells you what a product contains, not whether your team will use it at 10:30 on a Monday with 40 fresh enquiries from last night's ads.
What CRM software for sales has to do for three different people
A sales team of 5 to 100 people has three kinds of user, each opening a different screen first. If the CRM serves only one of them, the other two work around it: reps keep notes in a diary, and managers go back to asking for updates on WhatsApp.

For the rep: who to call next, context before the call, one-screen update
A rep's day is a loop: pick a lead, read up, call, record what happened, set the next step, repeat. Anything that adds clicks to that loop gets skipped by the third week.
Who to call next
A rep should not have to work out the order from a list of 200 names. The CRM should bring overdue callbacks and fresh enquiries to the top, then the leads most likely to convert. Ask how that order is decided: a lead score helps only if the rep can see why a lead ranks high.
Context before the call
Before dialling, the rep needs the ad form answers, every earlier call and comment, any WhatsApp chat, and whether this person has enquired before. If that history sits in three places, the rep calls blind and the customer repeats themselves. The most useful number a team lead can watch is callbacks due versus done, per person. That needs two things: a stage like "Interested" that a lead cannot enter without a next callback date, and missed callbacks that stay visible as overdue instead of rolling over to tomorrow. Ask the vendor to show one rep's missed callbacks from yesterday in two clicks.
Coaching from real calls
A leaderboard of calls, connect rate, talk time and conversions shows where to look; recordings and comments show what went wrong. Check who may play recordings, whether plays are logged, and whether reps can be limited to their own leads and kept from exporting, so a leaver cannot walk off with your customer list.

On cost per lead, Meta looks twice as good. On cost per admission, Google is ₹4,000 cheaper per student and brings more fee revenue on less spend. Move budget on cost per lead alone and you move it the wrong way. The figures are made up, so build the same table from your own last three months.

- Conversion lag, the days from enquiry to sale, so you judge this month's leads fairly.

Leads, deals and pipelines: which model fits how you sell
Sales CRM software organises selling around one of two units, and choosing the wrong one makes every update feel like extra work.
A lead-stage workflow treats each enquiry as the unit. The lead moves through stages such as New, Contacted, Interested, Visit booked and Converted, and a stage can demand a next step. This fits high-volume, short-cycle selling: clinic enquiries, admissions, loans, site visits, test drives.
A deals board (pipeline) treats each opportunity as the unit, with a value and an expected close date, dragged across columns by a salesperson. This fits fewer, larger sales with proposals and negotiation: B2B services, software, bulk orders.
