Search for coaching institute software and much of what comes up is ERP: fees, attendance, timetables, test series, a parent app. Those tools are built around students who have already joined. The months before joining need a different tool.

Listen to the complaint in your staff meeting. If it is "we don't know who has paid the second instalment", you need an ERP. If it is "we spent ₹1.5 lakh on ads and nobody can tell me how many of those students came for a demo", you need a CRM. Most multi-centre institutes need both.
The admission funnel: enquiry, counselling call, demo class, fee paid
Whether the course is JEE, NEET, UPSC, bank PO or IELTS, admissions follow four steps. The enquiry comes in, a counsellor calls, the student sits a demo class, and the family pays the fee or a registration amount that holds the seat.
In the CRM each step becomes a stage, and a stage can refuse a lead until the counsellor records the next step. A stage list you can copy:

Keep the reason a lead is stuck in status, a separate label: "Waiting for result", "Parent not convinced", "Fee too high", "Centre too far". Status does not change the stage or the funnel reports. It tells the centre head what is blocking admissions.
Handling the season: result days, board-exam months and ad spikes
Coaching enquiries do not arrive evenly. For school and entrance-exam coaching, the busiest weeks usually follow the Class 10 and 12 board results and the entrance-exam results. UPSC and banking institutes see jumps around exam notifications and results. Ad budgets often rise in the same weeks. Say a team used to 40 enquiries a day suddenly gets 200 in result week.
Set this up before the spike:

During the spike:
- Returning families. A student who enquired last year and fills a form again is matched on the phone number's last 10 digits (or the email) and recorded as a re-enquiry on the existing lead, so the counsellor sees last year's comments before dialling. A CSV import does not check for repeats, so clean old sheets first.
- Missed Meta leads. If the page connection breaks during the rush, missed lead-ad leads can be backfilled for up to 90 days.
- Who to call first. The caller's dashboard lists the highest-priority leads first, and every lead carries a score from 0 to 100 with a hot, warm or cold band.
Student or parent: capturing who decides
For a Class 8 student asking about a foundation course, the child often fills the form while the parent decides and pays. A 24-year-old UPSC aspirant does both. Pitch the wrong person and the call is wasted, so record who decides with custom fields:

On your Meta lead forms, add "Who is filling this form?" and map it to the first field. Put the first three fields on Quick Update, the panel counsellors fill after every call.
One edge case: repeat-enquiry matching looks at the lead's own phone and email, not custom fields. If a father later fills a form from his own number about his daughter's course, it arrives as a separate lead. Counsellors note it on the original lead and move the extra one to "Duplicate".
A first counselling call that finds the decision-maker:
"Hello, this is Neha from [Institute]. You enquired about our NEET batch
on Instagram. Am I speaking with the student or a parent?"
If a student in Class 12 or below:
"Could I have a parent's number too? Batch and fee decisions usually
need them, and I'd like to invite them to the demo."

Make "Demo class booked" a stage that requires an appointment, so no lead reaches it without a start time and duration. The title can carry the batch ("NEET demo, Saturday 10am, Vijay Nagar"). Each appointment is then scheduled, confirmed, attended, no-show or cancelled, and the calendar view shows every demo booked for Saturday.
Once the demo is booked, the counsellor sends the approved confirmation template from the lead's WhatsApp chat. A student who filled a Meta form has not messaged you, so the 24-hour free-reply window is closed and only a Meta-approved template can go out:

Reply here if you need a different slot.If the student replies, the window opens and the counsellor can type the date, time and centre address as a normal message. Either way, set the next callback for the evening before the demo, so the confirmation call sits in the counsellor's Due today tab.
When a student does not turn up, mark the appointment no-show and move the lead to "Demo no-show", which requires a next-callback date. Then call the same day:
"Hi, Neha from [Institute]. We kept a seat for Aarav in the
10 o'clock demo this morning. Did something come up?"
If timing: "There's another demo on Wednesday at 5. Shall I move him there?"
If comparing institutes: "Sit one class before you decide."
If the fee worries the parent: "I'll send you a WhatsApp message now.
Reply 'Hi' and I'll share the fee structure and instalment options
right there, then call you tomorrow evening."A parent reached only by phone has not messaged you on WhatsApp, so the counsellor sends an approved template first. The parent's reply opens the 24-hour window, and the fee structure can then go as an attachment in the same chat.

Bringing 18 of the 60 no-shows into a later demo adds about five admissions from the same budget. At a hypothetical annual fee of ₹90,000, that is ₹4.5 lakh in fees.
Multi-centre institutes: routing enquiries by city and centre
Set each centre up as a branch, its counsellors as a team. Give every centre its own lead source: a separate Meta form per centre, and a form on each centre's web page (every website form gets its own webhook URL). A source can send its leads straight to a branch, or you can add a distribution rule limited to that branch, with a daily cap per person and a fallback person.
Say a hypothetical JEE and NEET institute has centres in Jaipur and Sikar, plus an online batch:

One limit: a role sees its own leads, its team's, or everything, never a single branch's. To keep a centre head to one centre, put that centre's counsellors in one team and give the centre head team scope.

Can a coaching institute use a CRM instead of an ERP?
