The CSV route looks free, but its cost is delay. Meta keeps lead data available for download for 90 days from the day each lead is submitted, so a forgotten download can mean leads you paid for and never see. Connectors are a fair middle option. Before you start: page access, ad account and form checklist
Check access before software: a missing Page role or Leads Access setting stops leads even when the CRM is set up correctly. Go through this list before you open any settings screen.
- The right Facebook login. Meta reads lead data with a token from a person who can advertise on the ad account, and a CRM stops fetching leads if the person who connected loses that access. Use the login of someone who will stay, such as the owner or marketing head.
- Leads Access in Meta Business Suite. By default, Page admins can access leads. Once a business portfolio turns Leads Access on, a newly connected CRM gets no leads until someone with full control of the portfolio assigns it access.
- A list of every live form: name, questions, answer options and the campaigns using it.
- A starting stage and a plan for who gets each form's leads, for example "New enquiry" and the implant team.
- A phone number question on every form. Telecallers need it, and repeat enquiries are matched on it.
- A test phone number and email that belong to someone on your team.
Step by step: the Facebook lead ads CRM integration in atomcrm.ai
Do these in order.

Set a fixed owner on the form, have the form's source send its leads to one person, team or branch, or let assignment rules decide on arrival: round robin, weighted, capacity or performance. Rules can be limited to a branch or team, cap each person's daily leads and fall back to a named person. A lead that matches no rule stays unassigned and visible. - Backfill missed leads. Pull in submissions from up to the last 90 days, after the form is mapped, so they arrive with the right source, stage and owner.

Mapping form questions to CRM fields, source, stage and owner
Mapping decides whether a lead is ready to call when it lands, or needs five minutes of cleaning first. Say a dental clinic in Pune runs an implant ad with a six-question form. A sensible mapping looks like this.

Only the contact questions fill CRM fields. The qualifying answers stay on the lead page word for word, so the telecaller sees "Implants" and "This week" before dialling.
A few rules keep the mapping useful after month three:
- Use one source per form or offer. A single "Facebook" source tells you nothing when three forms are live. Separate sources, such as "Meta: Implant form" and "Meta: Aligner form", are how the leads-by-source report splits them by treatment.
- Do not start leads in a Qualified stage because the form asked a qualifying question. People tick anything on a form. A telecaller qualifies them on the call.
- Set a fixed owner only when one person handles that form. Otherwise leave it blank so assignment rules share the leads, or have the form's source send them to one team.
Testing the connection before you spend on ads
Test every form before it goes live. Meta's Lead Ads Testing Tool creates a test lead for a chosen Page and form. You need a Page role of Advertiser or above, and the tool allows one test lead per form at a time, so delete the old one to create another. Enter a phone number you can actually call.
Then click Track Status. It moves from pending to success or failed, and a failure shows an error code. Check the CRM against this table.

Once the ad is live on a small budget, ask a colleague to fill the real form on their phone, from Facebook and from Instagram if both placements run. Then move test leads to a Disqualified stage such as "Test entry" so they do not sit in anyone's list.
Recovering leads that arrived before you connected

A backfill brings all 200 into the CRM with their ad and form answers. Update the 120 already called from the old sheet, and the 80 untouched ones stay in the starting stage with no callback booked. The Assign board shows, stage by stage, every lead with no callback booked, so the manager can hand the 80 out in bulk the same morning.
Two cautions. Map the form before you backfill. And do not also import the Ads Manager CSV for the same period: a CSV import does not check for repeat enquiries, so people would appear twice. Keep CSV import (up to 5,000 rows per file) for leads older than 90 days.
