CRM for Real Estate Channel Partners: Registrations, Multi-Project Leads and Site Visits
How a channel partner firm should set up its CRM: one lead per buyer across projects, developer registration dates, site-visit proof and a weekly cost-per-visit review.
A CRM for real estate channel partner firms must keep one buyer as one lead while you pitch several developers' projects, record which developer you registered that buyer with and when, and hold proof that the site visit happened under your name. Add callback dates, a shared WhatsApp inbox and a weekly cost-per-visit review, and a small telecalling team can run it without a master spreadsheet.
This guide is for channel partner (CP) firms and mandate brokers in Mumbai, Pune, Bengaluru, NCR and Hyderabad selling new projects for several developers.
Why a CRM for real estate channel partners differs from a developer's CRM
A developer's CRM (how developers set theirs up) is built around its own inventory: towers, units, price sheets and demand letters. A resale broker's CRM is built around listings and owners. As a channel partner you own no inventory, you sell ten or fifteen projects from four or five developers, and you earn only when a buyer you brought books a unit and the developer accepts that the buyer is yours.
In a typical CP arrangement, the developer's sourcing team decides who brought a buyer from its own records: the registration you sent before the visit (some developers call it tagging) and the visit slip filled at the sales lounge. If the buyer walks in alone, or through another CP first, your claim is weak. Terms vary, so read each empanelment letter for the registration validity period and what counts as proof.
So your CRM has to answer four questions about every buyer:
- Which projects have we pitched, and which one is the buyer leaning towards?
- Which developers have we registered this buyer with, and when does each registration lapse?
- Did the site visit happen, and do we hold proof it was under our name?
- Who owns this buyer, and when is the next call?
Any decent CRM for brokers handles the fourth. The first three need deliberate setup. Resale agents will get more from the checklist for real estate agents.
The CP lead lifecycle: enquiry, project match, registration, site visit, booking
Take a hypothetical buyer. Rohan fills a Meta form on Monday for a 2 BHK in Kharadi around ₹85 lakh. Your telecaller calls within ten minutes and shares three projects from two developers on WhatsApp. On Tuesday he picks two, your team registers him with both developers and books Saturday visits, and a relationship manager (RM) meets him on site. He revisits one project with his parents and books.
Each step is a stage, and most stages should refuse a lead without a date:

The CRM enforces that a date exists. Your team's rule is that a registered buyer's next date always falls before the registration lapses.
Keep the reasons a buyer stalls ("Not responding", "Waiting for loan approval", "Location too far") as statuses. A status labels why a lead is stuck without changing its stage or your reports.

Stages say where a buyer is. Fields say what the buyer wants and what you have done with each developer:

Put Projects pitched, Budget, Possession wanted and Registered with on Quick Update, so the telecaller fills them with the call outcome. Add a conditional rule so Registration valid till becomes required once a developer is picked. And spell project names exactly as the developer does, or your filters will miss buyers.
One limitation: a date field holds one date. When a buyer is registered with three developers, log each registration as a one-line comment in a fixed format and upload the developer's confirmation to the lead's documents:

One buyer, several projects: stopping duplicate leads and double calling
CP firms run ads for several projects at once, often to overlapping audiences. The same buyer fills the Kharadi form on Monday and the Hinjewadi form on Thursday. In a spreadsheet that is two rows, two telecallers and two pitches.

Two gaps to plan for:
- CSV imports do not check for repeats. Before importing a portal export or an old Excel sheet, remove numbers already in the CRM, comparing on the last 10 digits.
- Same household, different numbers. A husband and wife enquire from separate phones. Train telecallers to ask "Is anyone else in the family looking with you?" and note the second number.
Route by team as well. If one team covers East Pune projects and another West Pune, give each team an assignment rule with round robin, a daily cap per telecaller and the team lead as fallback, or let a project's source skip the rules and go straight to one person or team. Site-visit proof and the follow-up after the visit
Your brokerage depends on the visit being recorded under your firm, so make proof routine:
- Register the buyer before the visit and log the REG line.
- Book the visit as an appointment on the lead.
- Send a WhatsApp confirmation telling the buyer to name your firm at the sales lounge.
- On the day, photograph the visit slip or save the developer's visit confirmation.
- Upload it to the lead's documents, tick Visit proof uploaded and mark the appointment attended.
A confirmation template to submit to Meta for approval:

Site visit done requires a next callback date, so no visit is marked without the next call booked. Call the same evening or next morning:

If price: "Developer B has a 2 BHK in Wagholi near ₹78 lakh. Shall I

If keen: "Would your parents like to see it before you decide?"Call no-shows the same day. Under most registration terms a no-show with a live registration is still your buyer (check the empanelment letter); one whose registration lapses next week needs a new visit date before then.

Bookings lag visits by weeks, so a weekly review built on bookings alone makes you cut the wrong campaigns. Read cost per site visit weekly and cost per booking monthly. The figures below are a hypothetical Pune CP firm, not measured results:

Project B brings leads at a fair price but few visits, so listen to three of its call recordings before cutting the budget. Project C is the cheapest route to a visit and earns more budget if the stock you advertise is still available. At a hypothetical 2% brokerage on a ₹90 lakh agreement, one booking earns ₹1.8 lakh, which makes ₹12,000 of ad spend per booking cheap and one lapsed registration very expensive.
Add three exception lines: registrations lapsing in the next 7 days, visits done with no proof uploaded, and overdue callbacks by telecaller. Can property portal leads come into the CRM automatically?
