How real estate CRM software price is calculated: per user, per workspace, per lead

Most real estate CRM pricing follows one of three models, and each reacts differently to the two things that move a property team's numbers: headcount and enquiry volume. atomcrm.ai uses the per-workspace model.

Here is the launch-month problem with invented numbers. Say a developer in Pune normally gets 800 enquiries a month and 3,000 in the month a new tower launches. At a hypothetical ₹5 per lead, the CRM line goes from ₹4,000 to ₹15,000, exactly when ad spend peaks. A per-user bill moves when you hire, and a per-workspace bill when you cross its user limit.

Who counts as a user in a real estate team

The person who makes the first call is rarely the one who takes the site visit. Count pre-sales telecallers, sourcing and closing managers, sales-office staff who mark walk-ins, a channel partner manager and the owner who reads reports. Teams that count only telecallers end up sharing logins, which hides who promised what to which buyer. WhatsApp: the brochure is free, the follow-up three weeks later is not

Buyers ask for the brochure, floor plans, price sheet and location pin on WhatsApp. When a buyer messages you, a 24-hour customer service window opens, and ordinary replies inside it are free on Meta's side.

The cost starts when the window closes. "Are you free for a site visit this Sunday?" sent three weeks later needs a Meta-approved template, and Meta charges per delivered template message at a rate set by category (marketing, utility or authentication) and the recipient's country. Meta publishes its current WhatsApp Business Platform pricing. If you connect through a provider, ask whether it adds a fee.

Long buying cycles mean more messages after the window closes. The cheapest habit is also the best sales habit: answer the brochure request fast and ask for the site visit in that same conversation.

SMS and DLT registration

Commercial SMS in India needs DLT registration: your business, sender IDs and templates are registered on a telecom operator's DLT platform before messages go through. Budget for the fee, credits and approval time. If site-visit reminders go on WhatsApp only, you may skip SMS in year one.

Calling, missed-call and IVR numbers

Some CRMs log calls through an app on the telecaller's handset, so calls ride on mobile plans you already pay for. Others need a cloud telephony account billed per minute. Real estate adds the missed-call or IVR number printed on hoardings, newspaper ads and site banners, usually rented separately and often one per project.

Your team's hours

Setup, cleaning up old leads from Excel and staff phones, and training never arrive as an invoice. Price them with one rule: hourly cost = monthly salary ÷ 200 (about 25 working days of 8 hours). A telecaller on ₹20,000 a month costs about ₹100 an hour, and every new pre-sales hire needs the same training again.

GST is shown only on the subscription. Usage bills such as templates, SMS and IVR usually carry GST too. If you can claim input tax credit (see the GST question below), leave GST out of your per-login figure.

Setup is 10 owner hours at ₹500 (A); 30 manager hours at ₹400 plus 30 telecaller hours at ₹100 (B); 60 manager hours at ₹500 plus 100 telecaller hours at ₹100 (C). Training is 2, 6 and 12 people at 5, 10 and 15 hours each, at ₹100 an hour.

What the sheet shows

  • An ₹800 headline became ₹1,277 to ₹1,507 per login per month (₹1,133 to ₹1,363 if you claim the GST back).
  • Costs outside the plan grow faster than the plan: ₹12,000 against a ₹28,800 subscription for Team A, but ₹1,69,000 against ₹2,40,000 for Team C.
  • WhatsApp templates were Team C's biggest usage line, so replying inside the 24-hour window matters for the budget as well as the buyer.
  • Under a per-workspace plan, Team C's 25 logins become one plan price, and three more site staff cost nothing extra until the user limit.

Free and cheap real estate CRMs: what you give up

A free CRM for real estate can be a sensible start for a solo broker. Before you put a team on one, check the user and contact limits, automatic assignment, whether there is a WhatsApp Business API inbox, whether lead ads post in by themselves, and whether you can export everything if you move.

Searches for "real estate CRM software free download" usually lead to scripts you host yourself. The licence is free, but you pay for the server, someone to patch it, and fixes when Meta changes how lead ads are delivered. You also run the security of buyers' personal data yourself. Your business has duties under the Digital Personal Data Protection Act, 2023 whichever CRM you use, so check them with a professional.

  3. Is a repeat enquiry from the same buyer a new lead, or attached to the existing one?

  5. Is a WhatsApp Business API inbox included, and who bills template messages, including any provider fee?
  6. How do Meta lead ads, Google lead forms, website forms and portal enquiries come in, and is any connector charged separately?
  7. Can you hide buyer phone numbers from roles that should not see them, and export all leads with history if you leave?
  8. What is the year-two price in writing, is there a lock-in, and do you bill in rupees with a GST invoice?
