How CRM software is priced in India, the costs that never show on a pricing page, a worked 3-year budget for a 10-person team and a worksheet to compare two quotes fairly.

CRM software price in India depends on three things: how the vendor counts users (per user, per workspace with users included, or a one-time licence), which features sit in paid add-ons, and the costs on top of the subscription, such as 18% GST, Meta's WhatsApp template charges, DLT-registered SMS and your team's setup time. Compare vendors on the three-year total for your team, not the monthly sticker price.

Two quotes that look close on a pricing page can end up far apart after three years. The worked budget below uses invented figures on purpose, because real plan prices change too often to print. Current atomcrm.ai prices are on the pricing page.

Why CRM software price in India is quoted three different ways

Until you know which charging model a quote uses, you cannot compare it with anything.

Per user per month. A fixed amount for each person who logs in, usually across editions where each higher tier adds features. The bill grows with every telecaller you hire. Ask whether all users must be on the same edition, because moving eight telecallers up a tier so the manager gets one extra report is an expensive way to buy a report.

Per workspace, with users included. One price for the account, with a set number of users in the plan. The bill stays flat as you hire, until you cross the plan's user limit. This is the model atomcrm.ai uses.

One-time licence. You pay once, the software runs on your server or one the vendor sets up, and an annual maintenance contract (AMC) covers updates and support. The upfront number looks final, but hosting, the AMC and paid changes come back every year.

A few tools charge by usage instead: contacts stored, leads received or messages sent.

The line items on a real CRM bill: users, modules, WhatsApp, SMS and GST

A pricing page shows one number. A real first-year bill for a team that sells on the phone and WhatsApp usually has five or six lines.

Users

Count everyone who needs a login: the owner who reads reports, the team lead, the front desk, the counsellor who takes the second call. Teams that undercount end up sharing logins, and a shared login loses the one thing you bought the CRM for: knowing who called whom, and what was said.

Editions and add-ons

Check which edition carries what you need on day one: automatic lead assignment, lead ad integrations, call logging, callback reminders, reports by telecaller and an API. If one of those sits two editions up, that edition's price is your real price.

WhatsApp: the feature and the messages are two bills

The CRM's WhatsApp inbox is one cost, included in the plan or sold as an add-on depending on the vendor. The messages are a second cost. Since July 2025, Meta charges on the WhatsApp Business Platform for delivered template messages, at a rate set by the template's category (marketing, utility or authentication) and the recipient's country code. Some messages are free: ordinary replies and utility templates inside the 24-hour customer service window, which opens when the customer messages you, and messages in the 72-hour window that opens when someone reaches you from a click-to-WhatsApp ad and you reply within 24 hours. If you connect through a provider, ask whether it adds its own fee. Meta publishes its current WhatsApp Business Platform pricing.

So a team that replies while the window is open spends less than one that lets chats go cold and reopens each with a template. If you run click-to-WhatsApp ads, the first reply matters twice: answer within 24 hours and the next three days of messages to that person cost nothing.

SMS

Commercial SMS in India needs DLT registration: your business, sender IDs (headers) and message templates are registered on a telecom operator's DLT platform before messages go through. Budget for any registration fee, SMS credits and the staff time to get templates approved. The process and fees differ by operator and change from time to time, so confirm the current steps with your SMS provider or on the operator's DLT portal before you budget.

GST and currency

GST at 18% applies to software subscriptions in India, and many pricing pages show prices before GST. A registered business can usually claim it as input tax credit, but a clinic whose services are GST-exempt often cannot, so for it the 18% is a real cost. Ask your CA which applies to you.

If a vendor bills in US dollars, your rupee cost moves with the exchange rate at every renewal. A rupee price with a GST invoice is simpler to budget.

Calls and lead capture

Some CRMs log calls through a phone app on the telecaller's handset, others through a cloud telephony account billed per minute. SIM plans or minutes are a separate bill either way. And if a lead source needs a Zapier-style middleware subscription to reach the CRM, count that subscription too.

Costs that never appear on a pricing page: setup, migration and training time

Some of the biggest year-one costs are your own team's hours. They never arrive as an invoice, so they get left out. Put a rupee figure on them:

Hourly cost of a person = monthly salary ÷ 200
(roughly 25 working days × 8 hours)

A telecaller on ₹20,000 a month costs about ₹100 an hour. A manager on ₹60,000 costs about ₹300. Now list where the hours go.

Setup. Someone decides the stages, the fields telecallers fill in, who gets which lead, which stages need a callback date, and how each lead form maps to fields. Vendor help shortens this, but the decisions are yours.

Migration. Old leads live in Excel files, notebooks and staff phones. Someone has to merge them, remove duplicates, fix phone formats and decide which are worth calling.

Training. Telecallers learn the daily routine and managers learn the reports. Every new joiner needs the same, so in a team with turnover this cost repeats yearly.

Admin. Someone owns the CRM: adds users, changes rules when a campaign launches, fixes a form that stopped posting. Budget at least an hour a week of a manager's time.

Per-user vs per-workspace pricing: a formula to see which is cheaper for you

You can settle this for your own team with one division.

Break-even users = (flat plan price − add-ons the per-user quote charges extra)
                   ÷ price per user

Below the break-even, the per-user quote is cheaper each month.
Above it, the flat plan is cheaper, up to that plan's user limit.

Say one quote is ₹900 per user per month plus a ₹2,000 WhatsApp add-on, and the other is a flat ₹11,000 a month for up to 20 users with WhatsApp included. These are invented figures. The break-even is (11,000 − 2,000) ÷ 900 = 10 users.

Plug in the headcount you expect in 18 to 24 months, not today's, because telecalling teams tend to grow in bursts when a campaign starts working. And count occasional users such as the doctor or the accounts person if they should see the leads.

A worked 3-year budget for a hypothetical 10-person telecalling team

Say a multi-speciality clinic in Indore runs Meta lead ads with 8 telecallers, a team lead and an owner: 10 logins, growing to 12 in year 2 and 14 in year 3. Every number below is invented to show the arithmetic. None is a real vendor's price or a market average.

  • Quote A: ₹900 per user per month, a WhatsApp add-on at ₹2,000 a month, and a one-time onboarding fee of ₹15,000.
  • Quote B: a flat ₹11,000 a month for up to 20 users, WhatsApp included, no onboarding fee.

Training in year 1 is 8 telecallers × 4 hours × ₹100 plus 2 managers × 6 hours × ₹300.

Step 3: the three-year total

The team adds up to 432 user-months (10, 12 and 14 users, 12 months each). Assume the clinic's services are GST-exempt, so it cannot claim the 18% back and the GST row is a real cost. If your business can claim input tax credit, drop that row.

What the example shows

  • Quote A had the lower headline (₹900 a user, against ₹1,100 for Quote B at 10 users) and the higher total, by ₹94,164. The add-on, the onboarding fee and growth to 14 users did that.
  • Costs outside the subscription were roughly a fifth of either total. A budget built from the pricing page alone would be short by ₹1,37,200 before GST.
  • For a business that does claim input tax credit, the totals fall to ₹6,13,000 and ₹5,33,200 (₹1,419 and ₹1,234 per user per month). Quote B still wins, but the gap narrows to ₹79,800, because GST grows with the software bill.
  • At a steady 8 users, Quote A would win every month (₹9,200 against ₹11,000). Your hiring plan decides, so run your own numbers.
