The cheapest CRM software is the one with the lowest cost per lead your team actually handles, not the lowest number on a pricing page. For a small Indian team of 2 to 10 people, that usually means a plan with enough users, lead ads sync and callback reminders included, because extra user fees, paid add-ons and hours of manual lead entry can add more than the headline price.

Most "cheapest CRM in India" lists sort tools by starting price. That number is real, but it answers the wrong question. A CRM decides whether the leads you already paid for get called, followed up and closed.
So two numbers matter: what you pay each month once every user and add-on is counted, and how many leads your team actually handled that month (a first call, a recorded outcome and, where needed, a next callback). A worked example for a 5-person team in Jaipur
Say a coaching institute in Jaipur has one counsellor-manager and four telecallers, and gets 600 enquiries a month, mostly from Meta lead ads. It is choosing between two hypothetical options. Option A looks ₹1,500 cheaper on the pricing page. Counted properly, it costs ₹820 more each month and ₹2.24 more per lead handled.
The 13 hours are half an hour of downloading and uploading on each of 26 working days; Option B's 2 hours go on checking the sync. The 60 leads Option A never handles arrived too late, got entered twice, or had a callback nobody remembered.
And the gap in leads handled is where the real money sits. If each Meta lead costs the institute ₹150 (again hypothetical), the 48 extra leads Option A fails to handle represent ₹7,200 of ad spend a month that bought nothing. That is more than either subscription.
Four ways low-cost CRM software ends up costing more
1. Per-user creep
Per-user pricing looks small because you multiply it by today's team. Then the owner wants a login for reports, you hire two telecallers for admission season, and a part-timer covers Saturdays. A five-seat bill becomes a nine-seat bill within a year, and the tool that was cheapest at five may not be cheapest at nine. Run the formula at the team size you expect in 12 months.
2. Paid add-ons and tier jumps
The entry plan often covers contacts and a basic pipeline. What a calling team needs (lead ad integrations, WhatsApp, call logging, automatic assignment, reports by telecaller) may sit on a higher tier or be sold separately. And moving up a tier for one feature usually raises the price for every user.
List the five features you cannot work without and find the cheapest plan that has all five. That is your real starting price.
3. Manual lead entry
Every source without a direct connection becomes someone's daily chore: exporting from Meta, copying website form emails, typing in missed calls. Beyond the staff hours, it adds delay. A lead that reaches a telecaller at 6pm instead of 11am may already have spoken to two other businesses.
