Most franchised dealers in India already run a DMS specified by their OEM, and leads from the OEM's website often reach you through it. Leave the DMS doing that job.

The gap is everything before a customer is ready to book: leads from your own Meta and Google campaigns, WhatsApp messages to the showroom number, missed calls to the number on a hoarding, forms on your website. Buyers also come back: a Meta form for a hatchback in March, a call about an SUV in May. The CRM matches the phone's last 10 digits (or the email) and records a re-enquiry on the existing lead, so the executive sees the earlier conversation. CSV imports skip this check, so clean the sheet first.

Showroom-wise routing for multi-outlet dealers

Set each showroom up as a branch and each group of executives as a team. Point each showroom's lead source at its branch, then add a distribution rule limited to that branch, so its leads go only to that showroom's executives, in priority order, with a daily cap per person and a fallback person. A lead that matches no rule stays unassigned and visible, never dropped.

One limit to plan around: a role sees its own leads, its team's or everything, never a branch's. To keep a showroom manager to one showroom, put that showroom's executives and its manager in one team, and give the showroom-manager role team scope.

Test drives as appointments, and the no-show follow-up

Make "Test drive booked" a stage that requires an appointment, so no lead reaches it without a date and time. Each appointment is then scheduled, confirmed, attended, no-show or cancelled, and the calendar view shows how full Saturday already is.

Right after booking, the executive sends a confirmation from the lead's WhatsApp chat. A Meta form lead has not messaged you, so the 24-hour free-reply window is closed and only a Meta-approved template can go. Write it in the CRM and submit it for approval once:

When someone does not turn up, mark the appointment no-show and move the lead to a "Test drive no-show" stage that requires a next-callback date. Then call the same day:

"Hi Mr Kulkarni, Rohan from the Wakad showroom. Your test drive was at 11 today.

Exchange, finance and variant: fields that decide a booking

Booking talks stall on three questions. What will I get for my old car? Will the loan come through? Which variant? If the answers live only in an executive's head, they leave when the executive does. Put them in custom fields:

Put the first four on Quick Update, the panel executives fill after every call, so the questions get answered during the call.

Use status for why a lead is stuck ("Waiting for exchange valuation", "Loan under process", "Comparing another brand"). It leaves stage and reports alone.

A daily sales-manager review for dealerships (checklist)

Fifteen minutes before the morning meeting, in this order:

  1. Unassigned leads. Bulk-assign last night's strays from the leads list.
  2. Overdue callbacks by executive. Two executives with 15 overdue each tell you more than any meeting.
  3. Leads not yet contacted. Check them against your first-response time limit.
  4. Today's test drives. Anything unconfirmed by 10am gets a call.
  5. Yesterday's no-shows. Each should have a callback booked.
  6. Quotations gone quiet. Filter by the quotation stage and read each status and last comment.
  7. Booked, awaiting delivery. A booked customer who hears nothing for a week may cancel.
  8. Yesterday's ads. Ads Intelligence grades each Meta ad by effective cost per qualified lead against your target CPL.

Save items 1, 3 and 6 as views pinned to the sidebar. Weekly, read the team leaderboard (calls, connect rate, follow-up adherence, conversions) and have the telecaller performance report emailed to the dealer principal.

Frequently asked questions

Does a car dealership need a CRM if the OEM provides a DMS?

If every lead comes from the OEM, perhaps not. Once you run your own ads, answer WhatsApp on the showroom number or print a missed-call number, you have leads the DMS may never see. A CRM gives each of them an owner and a next step, and leaves bookings and stock in the DMS.

Can atomcrm.ai sync with my OEM's dealer management system?
