CRM Companies in India: Indian-Built CRM Software and How to Compare Them
What makes a CRM company Indian, what it changes for GST, data location and support, how the better-known Indian CRM vendors differ, and how to cut the list to two.
CRM companies in India range from broad business suites such as Zoho to sales-focused tools like LeadSquared and Kylas, and calling-first CRMs such as TeleCRM, NeoDove and atomcrm.ai. Buying from one can mean rupee billing with a GST invoice, data kept in India and support in Indian hours, but only if you check each point. Compare them by what each is built around, not by size.
What counts as an Indian CRM company: headquarters, hosting or billing entity
"Indian CRM company" or "India-based CRM software" can mean four different things, and a vendor can tick one box and not the others.

Two familiar names show why the rows matter. Freshworks launched Freshdesk on 13 October 2010 from a rented meeting room in Chennai, and its investor pages describe the company as headquartered in San Mateo, California. Zoho's own timeline begins with AdventNet in New Jersey in 1996, yet its contact page lists seven locations in India, and its datacentre page names Mumbai as its primary Indian datacentre.
Both get called Indian, yet neither label tells you what your invoice or data agreement will say. Day to day, the last two rows are the ones that matter.
Why buying from a CRM company in India can matter: GST, data location and support hours
GST invoices and rupee billing
A vendor billing from an Indian entity issues a GST invoice with its GSTIN, and a GST-registered business using the software for business can generally claim that GST as input tax credit. The rupee price does not move with the dollar, and no card currency markup applies.
Services billed from abroad are taxed differently, often under reverse charge, where you pay and report the GST yourself. Some global vendors bill Indian customers through an Indian entity, so ask, and have your CA confirm the treatment.
A worked example in rupees
Say a loan DSA office in Jaipur has 10 telecallers and 2 managers who need logins, and two quotes. Both are made up to show the arithmetic. They are not any vendor's prices.

The list prices look almost the same, yet over a year the dollar quote costs about ₹7,300 more before the rupee moves at all. Price the team you will have in twelve months, in rupees, including tax and card charges. Our breakdown of CRM software prices in India covers the costs outside the licence.
Data location
A CRM holds names, mobile numbers, and what people told your telecaller about their loan, budget or health. Hosting in India does not make a vendor compliant on its own, but it tells you which country your data sits in. Ask about backups too: live servers here with backups abroad is a different answer.
Support in Indian hours
If the lead-ads sync stops at 10 in the morning, with last night's ad leads waiting, you need someone to answer then, in IST. Ask which hours support is staffed, on which channels and in which languages, and whether onboarding is included. Get it in writing.
Indian lead sources and WhatsApp
Vendors built for Indian buyers tend to start from the channels Indian enquiries arrive on. TeleCRM and NeoDove, for example, both list integrations with portals such as IndiaMART and Justdial. List every place your enquiries come from (Facebook forms, Google ads, website, portals, missed calls, WhatsApp) and ask how each reaches the CRM without copying by hand.
CRM companies in India, grouped by what they are built around
Size is a poor way to sort this list. A CRM built for a field sales force will feel wrong to six telecallers working Facebook leads, and the reverse. The notes below describe CRM providers in India using only what each says on its own website. For prices, check each vendor's current pricing page.

A table like this gets you from twenty names to four. It cannot tell you which screen your telecallers will actually open every morning. Only a test with your own leads does that.
Questions to ask any Indian CRM provider about data and the DPDP Act
The Digital Personal Data Protection Act, 2023 covers the personal data of your leads, and most of it sits in your CRM. In the Act's terms, your business is usually the Data Fiduciary and the vendor a Data Processor that handles data on your behalf. The rules are being phased in, so check the current position and ask a lawyer about your obligations. These are questions to raise, not legal advice.
Send the same email to every vendor on your list:

10. Please attach a sample GST invoice showing your GSTIN.Questions 5 and 6 matter more than they look. For a small sales team, the risk you can do most about sits inside the office: a telecaller leaving with an export. Vague answers to questions 1, 2 and 9 are a fair reason to drop a vendor early.

What setup looks like in the first week
- Connect Meta lead ads: log in with Facebook, pick the ad account and page, and map each form to fields, source, starting stage and owner. Missed leads can be backfilled for up to 90 days.
- Give each website form its own webhook URL. UTM parameters, gclid and fbclid are stored on the lead.
- Import your spreadsheet, up to 5,000 rows per CSV, each row with a phone or email.
- Set assignment rules (round robin, weighted, capacity or performance) with daily caps and a fallback person. Leads that match no rule stay unassigned and visible.
- Make key stages require a next-callback date, so telecallers work from the callback queue (Overdue, Due today, Upcoming) and log each call in Quick Update.

Best for, and not the best fit
Best for Indian teams that sell on the phone and WhatsApp (clinics, real estate, coaching, loans and insurance, car dealers) who want lead ads, callbacks and WhatsApp in one place.
Not the best fit if you need a native app for iPhone, a dialer that works through a list on its own, or deep ERP and accounting integrations. Among well-known names, LeadSquared and NeoDove list offices in Bengaluru, Kylas is in Pune and TeleCRM says it started in Aligarh. Zoho lists seven locations in India. Freshworks began in Chennai but is headquartered in San Mateo, California. Check each vendor's own site for current details.
Do Indian CRM companies store data in India?
Not automatically. Some host in India, some let you choose a region and some keep data abroad. Zoho, for example, lists Indian datacentres in Mumbai and Chennai. A head office says nothing about where the servers are, so ask where live data and backups sit, in writing.
Can I claim GST input tax credit on CRM software?
Generally yes, if the vendor issues a GST invoice with its GSTIN, your business is GST-registered and the CRM is used for business. Services billed from abroad follow different rules, often reverse charge, which you handle in your own returns. Confirm with your CA before choosing between an Indian and a foreign invoice.
Is CRM software from an Indian company always cheaper?
No. The cost depends on whether the vendor charges per user or per workspace, the currency, how GST applies, card charges, and add-ons such as WhatsApp message fees from Meta or your provider. Two quotes that look equal per user can differ by thousands of rupees a year.
How many CRM vendors should I demo?
Two, after a desk review of about four. With more demos the screens blur together. Use the data email to cut four names to two, run both demos with the same script and test lead, then trial the winner on real leads for at least a week.
