What an Indian small business actually needs from a CRM

Picture a normal week. A Meta lead ad brings in a number at 11pm. A missed call lands while the receptionist is busy. An old customer messages a telecaller's personal WhatsApp. By Monday, some of those people have been called twice and some not at all.

A CRM for this kind of business has four jobs, in this order:

  1. Capture every enquiry in one place, from every source, as it arrives, without anyone copying rows out of a Facebook download.
  2. Give each enquiry an owner at once, by a rule the team accepts, so leads do not wait for a manager to hand them out.
  3. Make the follow-up happen. Every open lead has a next action with a date, and anything overdue is visible to the caller and the manager.
  4. Show the owner what is working: which source brings paying customers, which telecaller converts, which follow-ups were missed.

Then there are needs that general buying guides skip. Your team sells on the phone and WhatsApp far more than by email. Your accountant wants a GST invoice in rupees. India's Digital Personal Data Protection Act, 2023 deals with digital personal data such as customers' names and phone numbers. Check with your adviser what it currently requires of you, and ask every vendor where your data is stored and who can see it. And most telecallers work from Android phones, not laptops.

The default weights add up to 20, so the maximum is 40. Totals are for comparing options. The rule that matters more: any CRM that scores 0 on a weight-3 criterion is out, however well it does elsewhere. A beautiful deals board is no use if your Meta leads still arrive by CSV download.

CRM A has better reports and calling. But this clinic's patients reply on WhatsApp, and CRM A scored only 1 on follow-up because a callback was a reminder the caller could skip, not a date the stage required. CRM B wins on the two things that decide whether leads get worked at all. The clinic

Patients enquire late at night, compare clinics, and answer WhatsApp more readily than an unknown number. Check that a lead can move to "Appointment booked" only with a date attached. Data control moves up because patient details are sensitive.

The property broker

The coaching institute

Zoho CRM and Bigin. Zoho describes Zoho CRM as an AI CRM with the Zia assistant, advanced workflows and a freemium edition for a small number of users. For smaller teams it points to Bigin, described as a simple CRM for small businesses and MSMEs with 1 to 20 employees, including clinics, real estate firms and schools, with built-in email, calls, WhatsApp and a mobile app. Consider Bigin if you want a pipeline-first CRM inside a larger suite of business apps.

HubSpot. HubSpot's site describes a free CRM for startups and small businesses, with contact management, deal pipelines, CRM import, a reporting dashboard, and email tracking and templates. Consider it if much of your selling runs through email and your website.

Freshsales. Freshworks describes Freshsales as an AI-powered sales CRM in which Freddy AI highlights the best leads and deals, and leads are captured, qualified, routed and tracked. Consider it if a deal pipeline with AI-led prioritisation is your main need.

LeadSquared. LeadSquared presents itself as an AI CRM for sales, marketing, service and field teams, listing industries including financial services, healthcare, education, real estate and automotive, with a field operations product for teams that sell through visits. Consider it if field visits are a large part of how you sell.

TeleCRM. TeleCRM says it brings lead management, phone calls, meetings and WhatsApp onto a single platform, for Indian sales teams who sell to Indian customers. Its site lists automatic lead capture from Facebook and Google ads, websites and portals such as Justdial and IndiaMART. Consider it if many of your leads come from listing portals.

Privyr. Privyr describes itself as a mobile CRM and automatic follow-up system for B2C salespeople, with apps on the App Store and Google Play, messaging through your existing WhatsApp Business number, and lead sources including Facebook Lead Ads, Google Ads, LinkedIn and TikTok. Consider it if your salespeople work mainly from their own phones.

Kylas. Kylas describes itself as designed for growing businesses, with Android and iOS access, inbuilt WhatsApp, direct calling with activity logging, lead routing, and quotes you can generate and track. Consider it if you want quotations and deals alongside calling.

Setting it up against the scorecard

  1. Lead capture (row 1). Log in with Facebook, pick the ad account and page, and map each lead form to CRM fields, a source, a starting stage and an owner. Mistakes small businesses make when choosing a CRM

Forgetting the second bill. Meta charges for WhatsApp template messages (marketing templates always, others mainly outside the 24-hour window), directly or through your provider, on top of any CRM fee. Commercial SMS in India also needs DLT registration.

Letting the old Excel sheet live on. If telecallers can still update a sheet, the CRM will miss half the story within a week and every report will be wrong. Set a cut-over date.

Over-building on day one. Twenty-five stages and forty custom fields make every call slower to log. Start with six to eight stages.

Not planning the exit. Export your trial data once before you pay. If leads, notes and history do not come out in a usable file, you are more locked in than you think.
