Best CRM for Real Estate Agents in India: A Checklist to Score Any Option
A 12-point table to score any real estate CRM on what Indian agents do all day: Meta and portal leads, WhatsApp, callbacks and site visits.
The best CRM for real estate agents in India is the one that gets every Meta, portal and WhatsApp enquiry to an agent within minutes, will not let a lead move forward without a next callback date, books site visits with a no-show follow-up, and shows you who is holding which buyer. MLS sync and email drips, the staples of US top-10 lists, matter far less here.
What follows is for independent agents, property dealers and brokerages of up to 15 people: a scoring table for any demo, a worked site-visit example in rupees, a shortlist and a one-afternoon setup plan. If you sell developers' projects as a channel partner, the guide to CRM for real estate channel partners covers developer registrations and one buyer pitched across several projects.
What the best CRM for real estate agents has to do in an Indian brokerage
Picture your day as a resale broker in Pune or Gurugram. Twenty Meta leads came in overnight, a portal sent six more, three people messaged the WhatsApp number on your hoarding, and two site visits are booked for the afternoon. By evening, half the callbacks you promised live only in your head.
India has no single MLS-style listing database that every broker uses, and buyers here answer a call or a WhatsApp message long before they open an email. So judge any CRM for real estate agents on five jobs:
- Capture every enquiry automatically, with its source, so you know which ad or portal is worth paying for.
- Give each lead an owner within minutes. A buyer enquiring on three listings often visits with whoever calls first with a sensible option.
- Force a next step. Every live lead needs a callback date, not a mental note.
- Turn interest into a site visit, confirm it, and chase no-shows the same day.
- Keep the buyer list with the firm when an agent leaves.
Dealers also juggle buyers, tenants, sellers and landlords, so the CRM must tell them apart and filter by requirement.
A 12-point scoring table for any real estate CRM
Take this into every demo of CRM software for real estate and ask the vendor to do each item live with a test lead. Score 2 if it works in front of you, 1 if it needs a workaround, 0 if it cannot be done.
| # | Check | How to test it in the demo |
|---|---|---|
| 1 | Meta lead ads arrive within seconds, with campaign, ad and form answers | Submit a test lead on your form and time it |
| 2 | Leads missed during a disconnection can be pulled back | Ask how many days back it recovers |
| 3 | Portal leads come in tagged with the portal as source | Import last week's portal export |
| 4 | Website and landing-page forms post in, with UTM tags | Fill your own form from a phone |
| 5 | A repeat enquiry joins the existing lead | Enquire twice from one number |
| 6 | Automatic assignment with a daily cap and a fallback person | Ask for a round robin across three agents |
| 7 | A live lead cannot move forward without a next callback date | Mark a lead "Interested" with no date |
| 8 | Site visits are appointments with attended and no-show states | Book a visit, mark it no-show |
| 9 | WhatsApp chats on a shared business number land on the lead | Message the demo number from a new phone |
| 10 | Calls logged on the lead with outcome, duration and recording | Call from an agent's Android phone |
| 11 | Requirement fields (buy or rent, budget, BHK, locality) are filterable | Filter "3 BHK, under ₹1.5 crore, Baner" |
| 12 | Agents see only their own leads, and exports are logged | Log in as an agent and try to export |
Count rows 1, 7 and 8 twice, because they decide whether a paid lead becomes a site visit. That gives a maximum of 30. Under 18 means parts of your process will stay in Excel and on personal phones. Keep one sheet per vendor:
Vendor: ______________ Demo date: __________
Rows scored 2: ___ Rows scored 1: ___ Rows scored 0: ___
Weighted total (rows 1, 7 and 8 counted twice): ___ / 30
Workarounds promised (write each one down): ______________
Annual cost for ___ users, including WhatsApp charges: ₹__________Price goes on the sheet, not in the score. Compare the yearly total for next year's team size, not today's.
Where agents' leads come from, and which a CRM can capture automatically
List your sources, then check how each would reach the CRM.
| Source | How it reaches a CRM | What to watch |
|---|---|---|
| Meta (Facebook and Instagram) lead ads | Direct connection, within seconds | Map budget and BHK questions to fields |
| Google lead forms, website, landing pages | Post straight in, or a webhook per form with UTM tags | Test with a sample before going live |
| Property portals (99acres, MagicBricks, Housing.com) | Varies by CRM: some offer portal connectors, others take a CSV export or a webhook | Ask which one, and see a portal lead arrive live |
| WhatsApp on your business number | Connected to the CRM inbox | Chats on personal numbers stay on personal phones |
| Missed-call or IVR numbers on hoardings | Each call posts as a lead | One number per hoarding lets you compare them |
| Referrals, walk-ins, owner calls | Typed in by the agent | Pick a real source, not "Other" |
Be careful with "integrates with portals". Ask whether a portal lead arrives through a named connector, a webhook or a file you download, because that decides how fast your agents see it.
atomcrm.ai has no named connector for any property portal. Portal leads come in by CSV import (up to 5,000 rows per file, each row needs a phone or email), or by webhook if your portal account can post leads to a URL.
Buyers also come back. Someone fills your Meta form for a 2 BHK in Wakad in June, and in August fills another form or rings your IVR number about a 3 BHK in Hinjewadi. The CRM matches the last 10 digits of the phone number, or the email, and records a re-enquiry on the existing lead instead of creating a second one. The same check runs when an agent types in a new enquiry by hand. A CSV import skips it, so clean the sheet first. See how Meta lead ads sync, including the 90-day backfill for missed leads.
Site visits, callbacks and the gap between enquiry and visit
Leads rarely die because an agent said something wrong. They die in the gaps: the buyer who said "call me next week" and got no date, the visit nobody confirmed, the no-show nobody called.
Build your stages so those gaps cannot open:
| Stage | Rule before a lead can enter it |
|---|---|
| New enquiry | None |
| Requirement taken | Needs a next callback date |
| Site visit booked | Needs an appointment |
| Site visit done | Needs a next callback date |
| Negotiation | Needs a next callback date |
| Deal closed | Set as the Converted stage, closes the lead as won |
| Not interested, bought elsewhere | In the Disqualified group, closes the lead as lost |
Now no lead can move past New enquiry without a callback date or a site visit on it. When a callback is done, set the next date in the same Quick Update so the lead does not go quiet. Each buyer carries one pending callback, so a new date replaces the old one. Agents work from a queue with Overdue, Due today and Upcoming tabs, get a reminder 15 minutes before each callback, and a missed callback stays in Overdue until someone deals with it. Here is how the callback queue works.
What the gap costs, in rupees
Take a hypothetical three-agent resale brokerage in Pune spending ₹50,000 a month on Meta lead ads. The figures are illustrative, not measured.
| Step | Now | With callback dates and no-show calls |
|---|---|---|
| Leads (₹250 each) | 200 | 200 |
| Site visits booked | 24 | 32 |
| Visits attended | 16 | 24 |
| Deals closed (1 in 8 attended visits) | 2 | 3 |
| Commission (₹1,00,000 a deal) | ₹2,00,000 | ₹3,00,000 |
| Ad spend per deal | ₹25,000 | about ₹16,700 |
The extra bookings come from leads who said "call me next week" and got that call; the extra attended visits come from a confirmation the day before and same-day no-show calls. Try it with last month's real numbers.
A same-day call script for a site-visit no-show
"Hi Mr Deshmukh, Neha from [brokerage name]. We had the 3 BHK in Baner
at 11 today. Did something come up?"
If timing: "The owner can show it Saturday at 10 or Sunday at 5. Which suits you?"
If price: "I have two options near ₹1.3 crore in Aundh. Shall I send them on
WhatsApp and book one visit this weekend?"Mark the appointment no-show, log the call outcome in Quick Update, and book the new visit from the lead page.
WhatsApp: personal numbers vs a shared Business API inbox
Most agents sell on personal WhatsApp. It works until an agent leaves with 400 buyer chats, or until you need to know whether anyone answered Saturday's enquiries.
| Question | Personal WhatsApp per agent | Business app on one office phone | Business API inbox in a CRM |
|---|---|---|---|
| Where chats live | Agent's phone | Office phone | CRM inbox, on each lead |
| Who keeps them when an agent leaves | The agent | The office | The firm |
| Can the owner see replies | No | Only on that phone or its linked devices | Yes, per lead |
| Messaging after 24 hours of silence | Anything | Anything | Only Meta-approved templates |
| Running cost | Free | Free | Meta's messaging charges, plus your provider |
Plan for that 24-hour rule. You can reply freely within 24 hours of the buyer's last message. After that, and for a first message to a Meta form lead who has never written to you, only a template Meta has approved can go out. Write your common messages as templates early:
Hi {{1}}, your site visit for {{2}} is confirmed for {{3}}.
{{4}} will meet you at the society gate. Reply here if you need to change the time.In atomcrm.ai, the inbox connects your business number through Meta's WhatsApp Cloud API or Gupshup. The team replies from one inbox, each chat sits on its lead, and the 24-hour window shows inside the chat. It does not read agents' personal WhatsApp, so move buyer conversations to the business number. See the WhatsApp inbox and templates.
The shortlist: how common options fit an Indian agent, including atomcrm.ai
Descriptions come from each vendor's own website, checked in September 2026. Confirm current features and pricing there.
| Option | What its own site says it is built around | Consider it if |
|---|---|---|
| Sell.Do | Real estate sales for developers, brokers and mandate companies, with leads from portals, ads, calls, walk-ins and WhatsApp in one place, and site-visit booking | You want software built only for property sales |
| LeadSquared real estate CRM | Developers, builders, brokers and PropTechs, with a mobile app for field agents and inventory mapping | You have field staff and want inventory tied to leads |
| Zoho CRM | Agents, brokers and growing businesses, from solo agents to large teams, with automated workflows and campaigns across email, WhatsApp and SMS | You want a general-purpose CRM that can grow with a larger team |
| Privyr | A mobile CRM with iOS and Android apps, built around receiving new leads on your phone and following up on WhatsApp, text message and calls | You are a solo agent working almost entirely from your phone |
Where atomcrm.ai fits. It suits agents and small brokerages who sell on calls and WhatsApp and want Meta lead ads, automatic assignment, callback dates, site visits as appointments and a shared WhatsApp inbox in one place. It is priced per workspace in rupees with users included, and stores data in India.
Where it is not the best fit. Look elsewhere if you need a native app for iPhone (the CRM runs in the phone's browser, and Call Pro, the call-logging app, is Android only), a dialer that rings the next number on its own, a property inventory module, or a named portal connector. The real estate page shows how property teams run portal and ad leads through to site visits.
How to set up atomcrm.ai for a five-person brokerage in one afternoon
Say the brokerage is an owner plus four agents in one office, handling resale and rentals. Everything below fits in one afternoon except the two steps Meta controls, getting the WhatsApp number live on the API and approving your message template. Start both today and use them once they come through.
- 2:00 pm, users and teams. Invite all five. Starter includes 3 users and Growth 15, so count everyone who will log in before choosing a plan. Create two teams, Resale and Rentals.
- 2:20 pm, stages. Build the stages from the table above, with the callback and appointment rules. Add statuses for why a lead is stuck, such as "Not responding", "Budget issue" and "Location too far". Statuses do not change the stage or the reports.
- 2:50 pm, fields. Enquiry type (Buy, Rent, Sell, Let out) as a required dropdown, Budget as currency, BHK, Preferred localities as multi-select, and Home loan needed as a checkbox. Show "Expected rent" only for Rent or Let out. Put budget, BHK and localities on Quick Update, the panel agents fill after each call.
- 3:20 pm, lead sources. Log in with Facebook, pick the ad account and page, and map each form to fields, a source, a starting stage and an owner. Backfill up to 90 days of missed leads. Add website form webhooks, import the latest portal export by CSV, and connect the WhatsApp number. Write the site-visit confirmation template in the CRM and submit it to Meta for approval; approval is not instant, so it may not be ready the same day.
- 4:00 pm, assignment. One rule for the Resale team: round robin, a daily cap of 25 per agent, the owner as fallback. Send the rental source straight to the Rentals team. Leads matching no rule stay unassigned and visible.
- 4:20 pm, calls and automations. Agents install Call Pro on their Android phones so calls are logged with outcome, duration and recording. Add two automations: moving to Site visit booked sends a WhatsApp message to the buyer, and a missed callback creates a task (switch on the Tasks module first). The 24-hour rule applies to that message too, so for a buyer who has not written to you in the last day, the agent sends the confirmation template, with the visit date and time filled in, from the lead's WhatsApp inbox.
- 4:50 pm, protect the list. Agents get a role that sees only their own leads. Mask phone numbers to the last four digits for roles that do not need them. The audit trail records every change and export.
Next morning, agents open "Who to call next" and the callback queue instead of notebooks, and the owner checks Overdue callbacks by agent and today's site visits.
Frequently asked questions
Which CRM is best for a new real estate agent in India?
If you work alone, pick the one you will actually update after every call, and weight Meta capture, callback dates and WhatsApp most in the scoring table. A mobile-first tool can suit a solo agent. Once you hire a second person, automatic assignment, a shared WhatsApp inbox and own-lead visibility start to matter more.
Can a CRM pull leads from 99acres, MagicBricks or Housing.com automatically?
It depends on the portal, your plan with it and the CRM, so ask to see a portal lead arrive live. atomcrm.ai has no named portal connector: import portal exports by CSV, or use a webhook if your portal account can post leads to a URL. Name the source after the portal so you can compare site visits per portal.
Is there a free CRM for real estate agents?
Several vendors offer free plans with limits on users, records or features, so check those limits against your lead volume. A spreadsheet plus the WhatsApp Business app also costs nothing and can work for one agent with a few leads a day. Before you commit to a free option, check two things: whether Meta lead ads flow in on their own, and whether a second agent can log in, because those are the first gaps a growing brokerage hits.
How much does a real estate CRM cost in India?
Vendors charge per user per month or per workspace with users included. Per-user pricing rises with every agent you hire, while a workspace plan rises in steps when you cross its user limit. Budget separately for Meta's WhatsApp messaging charges, and compare yearly totals. This breakdown of real estate CRM prices in India adds the costs outside the plan and a cost sheet by team size.
Next step: test it on this week's leads
Take this week's Meta and portal leads, score your shortlist with the table, then run those leads in a live account with callback dates, site visits and the WhatsApp inbox. You can start a 14-day trial for ₹5, which sets up a mandate so your chosen plan is debited after the trial, or book a 20-minute demo to see it with your own lead sources and stages. Setup can use the sources and stages you already have.
