CRM Software Examples: 7 Types of CRM and Who Each Is Built For
Real CRM software examples grouped by the job each does, from sales pipelines and telecalling to WhatsApp, service and industry CRMs, with a table to find your type.
Common CRM software examples include Pipedrive and Freshsales for sales pipelines, LeadSquared and TeleCRM for telecalling and lead management, Wati and Interakt for WhatsApp, HubSpot for marketing, Freshdesk and Zoho Desk for customer service, Salesforce and Microsoft Dynamics 365 as all-in-one suites, and Sell.Do or Meritto as industry CRMs. That is seven types. Pick the type that matches how you sell, then compare names.
A clinic with 60 Facebook enquiries a day and an engineering firm closing eight orders a quarter both need a CRM, but not the same one, so this guide groups products by job.
What makes software a CRM
CRM stands for customer relationship management. Use these four tests on any product someone shows you:
- One record per customer or lead, with name, phone, source and owner.
- A history on that record: every call, chat, note and stage change, in order.
- A next action with an owner and a date, so follow-up does not depend on memory.
- Reports built from those records, so a manager sees what is happening without asking.
A spreadsheet manages the first two with effort. It cannot remind anyone about the third, and the fourth only works if someone updates it by hand daily.
The textbook types: operational, analytical and collaborative
Textbooks split CRM into three types. Operational CRM runs daily work: capturing leads, assigning them, logging calls, scheduling follow-ups. Analytical CRM studies the data, such as which source converts. Collaborative CRM shares one customer record across teams. Most products today do some of all three, so for buying, the job a product is built around tells you more.

Sales pipeline CRMs: examples and who uses them
A pipeline CRM shows sales as deals in columns (New, Contacted, Meeting, Proposal, Won), each with a value, so the board doubles as a forecast.
- Pipedrive calls itself a sales pipeline CRM designed to help small businesses manage leads, track sales activities and close more deals.
- Freshsales, from Freshworks, describes itself as an AI-powered, easy-to-use sales CRM.
- Kylas is a sales CRM designed for growing businesses, with multiple custom pipelines, calling with activity logging, and WhatsApp Business built in.
- Bigin by Zoho CRM is pitched at small businesses and MSMEs with 1 to 20 employees, built around a visual pipeline.
Who uses this type: businesses where each sale is large and takes weeks, such as a pump manufacturer in Rajkot selling to contractors. Each deal involves a meeting, a quote and a negotiation.
If your day looks different: 80 small enquiries a day from ads, where the job is "call this person within five minutes, then again on Thursday", is what the next type is built around. If you shortlist a pipeline CRM anyway, test how it assigns new leads and enforces callback dates.
Telecalling and lead management CRMs
This type is built for volume. Leads arrive from ad forms, websites, IVR numbers and missed calls, and each has to reach a telecaller at once and get called back on the promised date. The main screen is a list of whom to call now.
- LeadSquared describes itself as an AI-powered CRM for sales, service and marketing, with sections for industries such as healthcare, education and real estate, plus a field operations product.
- TeleCRM calls itself telecalling CRM software for Indian sales teams who sell to Indian customers, with leads, calls, meetings and WhatsApp on one platform.
- atomcrm.ai is built for Indian teams that sell on the phone and WhatsApp, with Meta lead ads sync, automatic assignment, a callback queue and a WhatsApp inbox in one CRM for small and growing businesses. It is not the best fit if you need a native iPhone app, a built-in auto-dialer, or deep ERP or accounting integrations. You can see how the telecalling CRM works.
Who uses this type: clinics, coaching institutes, real estate teams, loan DSAs, insurance agents and car dealers. If your manager asks "did anyone call this lead back?" more than once a week, you are shopping in this row.
What to check in a demo: submit a test lead on your own form and time how long it takes to reach a telecaller. Then mark it "call back Thursday 4 pm" and ask what happens if nobody calls.
WhatsApp-first CRMs and inbox tools
Many Indian buyers make first contact on WhatsApp. These tools are built around WhatsApp conversations: Wati and Interakt around a shared team inbox for one business number, with broadcasts and chatbots, and Privyr around each salesperson's own WhatsApp number, with the manager able to see the activity.
- Wati describes itself as a WhatsApp growth platform, with a team inbox for sales and service chats, broadcasts and chatbots.
- Interakt offers a team inbox for WhatsApp and Instagram and calls its sales product a WhatsApp-first sales CRM.
- Privyr calls itself a mobile CRM for mobile-first sales teams, engaging leads on WhatsApp from sources such as Facebook lead ads and Google Ads.
Who uses this type: D2C brands, salons, travel agents and consultants whose customers would rather type than talk.
On the WhatsApp Business Platform (the API), free-form replies are allowed only within 24 hours of the customer's last message; after that, only a Meta-approved template can go out. Ask each vendor how its inbox shows that window.
Marketing, service, all-in-one and industry CRMs
Marketing CRMs
These are built around campaigns: email sequences, landing pages, segments and nurturing people not yet ready to buy. HubSpot's Marketing Hub, which HubSpot calls marketing automation software, is one example. This type suits businesses where people compare for weeks before speaking to anyone.
Customer service CRMs
Service CRMs start after the sale: a complaint or request becomes a ticket that is routed, tracked and closed. Freshdesk describes itself as AI-powered customer service software with omnichannel ticketing, and Zoho Desk calls itself AI help desk software. Choose this type when your volume is support rather than sales.
All-in-one suites
Salesforce presents itself as an AI CRM covering sales, service, marketing and commerce. Microsoft Dynamics 365 offers CRM apps such as Sales and Customer Service alongside ERP apps such as Finance. Zoho CRM describes itself as an AI CRM for growth. Suites suit organisations with several departments, custom approvals and an in-house admin or implementation partner.
Industry-specific CRMs
Sell.Do describes itself as purpose-built for Indian real estate, serving developers, brokers and mandate companies, with channel-partner management and site-visit booking in the sales flow. Meritto describes itself as an operating system for student enrolments, from enquiry to application, admission and payment, for universities, schools, coaching institutes and study-abroad consultants. They fit best when your process matches theirs.
A real-life example: one enquiry through three types of CRM
Say a JEE and NEET coaching institute in Kothrud, Pune spends ₹60,000 a month on Meta ads and gets 300 enquiries, about ₹200 each. One evening a parent enquires for her son in Class 11.
In a sales pipeline CRM
The enquiry becomes a deal card in "New". A counsellor calls next morning and drags it to "Contacted". The parent asks to talk after the unit test, so the counsellor adds a task. This works as long as someone keeps checking tasks across 300 cards a month.
In a WhatsApp-first tool
This time the parent taps a click-to-WhatsApp ad. The chat lands in the tool's WhatsApp inbox and a counsellor replies within the hour. But unless the tool also logs phone calls, the counsellor's call to the parent that evening, and her promise to ring back after the unit test, sit outside it.
In a telecalling CRM
The form lead arrives within seconds, is assigned by round robin, and appears at the top of a counsellor's list. She calls, logs "connected, wants demo after unit test", and sets a callback for next Thursday. On Thursday the lead sits in her "Due today" tab.
The same month in rupees
Suppose that without a forced callback, 30 of the 300 enquiries never get a second call. The ratios are invented; use your own.
| Line | Hypothetical figure |
|---|---|
| Meta ad spend per month | ₹60,000 |
| Enquiries | 300, at ₹200 each |
| Enquiries that never get a second call | 30 |
| Ad spend on those 30 | ₹6,000 |
| Demo classes they would have produced (1 in 10) | 3 |
| Admissions from those demos (1 in 3) | 1 |
| Course fee per admission (assumed) | ₹90,000 |
| Fee lost per month (1 admission) | ₹90,000 |
On these numbers, ₹6,000 of ads nobody followed through costs a ₹90,000 admission every month.
What the telecalling version looks like in atomcrm.ai
The Meta form is connected once, with each form mapped to fields, source, starting stage and owner. Assignment rules hand each lead out the moment it arrives. A "Callback scheduled" stage can require a next-callback date, so no counsellor can move a lead there without one, and the callback queue shows Overdue, Due today and Upcoming tabs. A "Demo booked" stage can require an appointment. If the parent later messages the institute's WhatsApp Business number (connected through Meta's WhatsApp Cloud API or Gupshup), the chat shows in the team inbox, linked to the same lead. The WhatsApp CRM page shows how the inbox and the 24-hour window work.
Which type of CRM matches your business: a decision table
Pick the row that sounds like your last month, not next year's plans.
| If this sounds like you | Start with | Examples to compare |
|---|---|---|
| 20 or more enquiries a day from ads or forms, worked by telecallers | Telecalling and lead management | LeadSquared, TeleCRM |
| Most buyers message first and close in chat | WhatsApp-first | Wati, Interakt, Privyr |
| A few dozen B2B deals with meetings, quotes and negotiation | Sales pipeline | Pipedrive, Freshsales, Kylas, Bigin |
| Buyers research for weeks before talking to sales | Marketing CRM | HubSpot Marketing Hub |
| Most volume is service requests after the sale | Customer service | Freshdesk, Zoho Desk |
| Several departments, custom approvals, an IT team or partner | All-in-one suite | Salesforce, Zoho CRM, Dynamics 365 |
| A standard industry cycle, such as project launches or admission season | Industry-specific | Sell.Do, Meritto |
| Fewer than five enquiries a day, handled by one person | A free CRM or a disciplined spreadsheet, for now | See what free CRM software covers |
If two rows fit, pick the one where leads are being lost today. Then shortlist two or three names and score them on the same criteria. Our scorecard for choosing CRM software in India gives you one, and the comparison pages go feature by feature.
Frequently asked questions
What are some examples of CRM software used in India?
Names you will often come across in India include Zoho CRM and Bigin, Freshsales, Salesforce, HubSpot, LeadSquared, Kylas and TeleCRM, WhatsApp tools such as Wati and Interakt, and industry CRMs like Sell.Do and Meritto. Which fits depends on how you sell: in meetings, on calls, in chat or through support tickets.
What are the types of CRM software?
Textbooks list three: operational, analytical and collaborative. For buying, grouping by job is more useful: sales pipeline, telecalling and lead management, WhatsApp-first, marketing, customer service, all-in-one suites and industry-specific CRMs. Most products mix the textbook types anyway, so the job grouping tells you more about daily fit.
What is an example of CRM in real life?
Say a dental clinic in Nagpur runs Facebook ads for aligners. Each enquiry lands in the CRM, goes to the next free telecaller, and gets a call within minutes plus a callback date if the patient wants time to think. The booked consultation is recorded on the same record, so the owner sees which ads produced visits.
Which type of CRM is best for a small business?
The type built for how your business sells. If enquiries come from ads and phone calls, a telecalling and lead management CRM fits. If deals are few and large, a pipeline CRM. If most buyers chat, a WhatsApp-first tool. Also check whether pricing is per user or per workspace, because hiring three people can change the bill quickly.
See a telecalling CRM on your own leads
If the decision table put you in the telecalling row, test one on a real week of enquiries, using your own lead sources and stages. You can start a 14-day trial for ₹5 on atomcrm.ai, or book a 20-minute demo and bring a test lead from your own form.
