What a telecalling CRM app should log for every call: a checklist
Use this list in every demo. Ask the vendor to make a real call while you watch, then open the lead.
- The lead. The call attaches to the right lead by phone number, not by the telecaller picking a name.
- Direction. Outgoing or incoming, so you can tell a telecaller's own effort from customers ringing in.
- Outcome. Connected, no answer or busy, saved by the app rather than chosen by the caller.
- Duration and time. A 9-second "connected" call and a 6-minute one are different kinds of work.
- Who made it. So a shared lead shows who did what.
- Recording. Attached to the same entry and playable from the lead page, not left in a folder on the handset.
- Who played the recording. A log of every play, with name and time.

The daily scorecard: calls, connect rate, talk time and follow-up adherence
Four numbers per telecaller, read together:
- Calls: every call dialled, connected or not.
- Connect rate: connected calls ÷ calls. A low rate can come from bad numbers in the lead source, not the caller.
- Talk time: total minutes on connected calls.
- Follow-up adherence: callbacks done on their due day ÷ callbacks due that day.
A worked example you can copy
Say a coaching institute in Indore has four telecallers calling Meta ad enquiries for a JEE batch. Here is one Tuesday, with numbers invented to show how the sheet reads.

Read across, not down. On a calls-only sheet, Ravi looks like the hardest worker. But he spends about 1.5 minutes per connected call against Neha's 3.6, and he left 9 callbacks for another day. Neha made the fewest calls and probably did the best day's work. Imran's perfect adherence next to only 22 connected calls deserves a second look.

Patterns that suggest padded numbers
A bad week usually has a boring cause. But when the numbers look odd, check the call log for these:
- Many calls under 10 seconds to the same few numbers. Dial, cut, repeat builds a count without a conversation.
- Late bursts. Thirty calls between 6:30 and 7 pm after a quiet afternoon.
- "Connected" with almost no talk time, day after day.

- Copy-paste comments. "Not interested" on 25 leads in a row, each after a 15-second call.
- Connected calls with no recording, on one phone only. Usually a handset setting. Check the phone first.

Recordings, permissions and privacy: who can listen
Recordings are the most useful thing the app produces and the most sensitive. A clinic's calls carry health details; a loan DSA's calls carry salaries and existing EMIs. Decide three things before the first recording exists:
- Who can play them. Usually the owner and team leads. Telecallers may need their own calls for training, not everyone's.
- Who can see full phone numbers. A telecaller needs to dial. A back-office person may only need to recognise the lead.
- How plays are tracked. A log of every play shows who listened to which call, and when.

Missed incoming calls: escalation rules to look for
Some of the most valuable calls are incoming: a lead ringing back the number that called them. If that telecaller is busy, on leave or gone home, the call rings out.
Put a rupee figure on it. Say a hair transplant clinic in Hyderabad spends ₹1,50,000 a month on Meta ads at ₹500 a lead, about 300 leads. If 60 ring back during the month and 12 of those calls go unanswered with no follow-up, that is ₹6,000 of ad spend that reached a phone nobody picked up, before counting what those patients might have paid. Frequently asked questions
Can a telecalling CRM app record calls on any Android phone?
Not always in the same way. Android call recording behaves differently across phone brands and Android versions, so an app may record cleanly on one model and need extra settings on another. Before rolling out, install the app on each handset model your team uses, make a real call on each, and check that the recording plays back from the lead page.
Does a telecaller app work for work-from-home teams?
