Lead Follow Up Software: What It Must Do So No Enquiry Goes Cold
What lead follow up software must do for teams that sell on the phone and WhatsApp, with a reminder app vs sheet vs CRM table, a 12-point checklist, a 14-day cadence and message templates.
Lead follow up software gives every enquiry an owner and a next follow-up date, reminds the caller when that date arrives, logs what happened on each call or WhatsApp message, and shows a manager which follow-ups are overdue. For teams that sell on the phone, it should also force a next date before a lead can move on, and keep WhatsApp chats on the lead.
What lead follow up software is, and what it is not
Search for follow up software and the results mix three kinds of tool. Email sequence tools send automated emails to a list, which suits B2B outreach. Reminder apps ping one person on one phone. Dialers speed up placing calls. None of them alone does the job described here.
Here, a follow-up means the second, third and eighth attempt to reach someone who enquired and has not bought yet: a parent asking about a NEET batch, a patient asking what aligners cost, a buyer who filled a form for a 2 BHK in Wakad. In India that is mostly a phone call, with a WhatsApp message when the call is not answered.
So the software has three jobs:
- Every lead has a next date. No enquiry sits with a blank follow-up field.
- The date gets acted on. The caller sees it on time, in order, with the last remark.
- Misses are visible. A manager can see, per person, what was due and what was skipped.
A tool that does the first two and not the third works until your first busy month. The usual reasons follow-ups get dropped are covered in why follow-ups do not happen.
Reminder app, spreadsheet or CRM for phone and WhatsApp follow-up
Most small teams start with one of the first two. Here is how they compare once several people call leads every day.
| What you need | Phone reminder app | Excel or Google Sheet | CRM with a callback queue |
|---|---|---|---|
| Lead gets in without typing | No, the caller types it | No, pasted from ad downloads | Yes, from ad forms, website forms and WhatsApp |
| Alert when a follow-up is due | Yes, on one person's phone | No, someone must filter the date column | Yes, for the lead's owner |
| List of overdue follow-ups | Missed alarms scroll away | Only with a filter, if dates were filled | A queue with overdue at the top |
| Manager can see who skipped | No | Only if everyone updates the sheet honestly | Yes, per caller, in reports |
| Next date is compulsory | No | No | A stage can refuse to save without one |
| When a caller resigns | Leads leave with the phone | The sheet stays, the context often goes | Leads are reassigned, history stays |
| Cost | Free | Free | Paid, per user or per workspace |
A reminder app is fine for a solo consultant with 10 live leads. A shared sheet works for one or two callers who filter the follow-up column every morning. Beyond that, if you cannot say in a minute how many follow-ups are overdue and whose they are, you have outgrown the tool.
In atomcrm.ai each caller works from a callback queue in the telecalling CRM, where overdue follow-ups get a tab of their own.
A 12-point checklist to test follow-up software in a demo
Take this into every demo and ask to see each row with a test lead, not on a slide. Score 0 (missing), 1 (workaround) or 2 (works as shown).
| Requirement | How to test it in the demo |
|---|---|
| Leads arrive with an owner | Submit a test form. Is it assigned within seconds? What if no rule matches? |
| Next date is compulsory | Move a lead to "Contacted" without a follow-up date. Does it stop you? |
| A daily queue | Where does a caller see overdue, due today and upcoming, oldest first? |
| One-screen update after a call | Count the clicks to log connected or not, outcome, remark and next date |
| Reminder before it is due | Set a follow-up 20 minutes out. Does a reminder arrive? |
| Last remark on the card | Can the caller read what was said last time without opening the lead? |
| Reason for no answer | Can you mark "switched off" without changing the stage? |
| WhatsApp on the lead | Does a reply land on the same lead? Is the 24-hour window shown? |
| SMS for numbers not on WhatsApp | Can it send DLT-registered templates? |
| Missed follow-ups escalate | Can a lead be reassigned automatically after a missed follow-up? |
| Repeat enquiries | Enter the same mobile twice, once with +91. One lead or two? |
| Adherence report | Show follow-ups due against done, per caller, for last week |
Be strict on the first four rows. A zero on any of them means the tool is a lead list with a date field, and your team will still follow up from memory. The rules a shared queue has to enforce are set out in what a callback management system must do, and the atomcrm.ai section below shows how its screens handle those four rows.
A 14-day follow-up cadence you can load into any tool
A cadence is a fixed plan for how often and when you try an unanswered lead before closing it. It needs no automation, only a rule that every call ends with the next date set. The last column below tells the caller which date to enter.
Two rules make it work. Change the time slot on each attempt, because someone who cannot pick up at 11 am is often free at 7 pm. And stop the cadence the moment the person answers; from then on, the conversation sets the next date ("call after the 5th, salary comes then").
| Day and time | Touch | If not answered, set the next follow-up for |
|---|---|---|
| Day 0, within 5 minutes | Call, then WhatsApp message A | Day 0, 3 to 4 hours later |
| Day 0, 3 to 4 hours later | Call | Day 1, 10 to 11 am |
| Day 1, morning | Call, then SMS 1 | Day 2, 6 to 8 pm |
| Day 2, evening | Call | Day 4, 1 to 2 pm |
| Day 4, lunch hour | Call, then WhatsApp message B | Day 7, morning |
| Day 7, morning | Call | Day 10, evening |
| Day 10, evening | Call, then WhatsApp message C | Day 14 |
| Day 14 | Call, then closing message D | Close as lost, or move to a monthly list |
That is eight calls and five messages over two weeks. Adjust the gaps to your sales cycle, and when someone says "not now", note why and the date they gave.
What a cadence is worth: a hypothetical example in rupees
Say a coaching institute in Lucknow spends ₹1,20,000 a month on Meta lead ads and gets 400 enquiries, about ₹300 each. Callers reach 240 on the first call. The other 160 get one ring, a "not reachable" note and no second call.
That is ₹48,000 of ad spend worked exactly once. Now say the cadence reaches 50 of those 160, and 1 in 10 of the 50 takes admission at a ₹35,000 fee. That is 5 admissions and ₹1.75 lakh in fees from enquiries already paid for. Run the sum with your own cost per lead and ticket size, then weigh it against the software cost using the CRM software price guide for India.
Follow-up messages for WhatsApp and SMS
WhatsApp. On the WhatsApp Business Platform you can reply freely within 24 hours of the customer's last message. A lead who filled an ad form has not messaged you yet, so your first message, and any message after the window closes, must be a template Meta has approved. Meta charges for most template messages, separate from any software fee, and expects the person to have agreed to hear from you on WhatsApp. Check Meta's current policy and rates before sending in volume.
SMS. Commercial SMS in India must use a template and sender ID registered on the DLT platform, and your SMS provider can confirm the current TRAI DLT requirements before you register templates. Keep each message within 160 characters of plain English text so it goes as one SMS.
Placeholders let one approved template serve every lead: {{1}} and so on in WhatsApp templates, {#var#} in DLT templates.
WhatsApp A (Day 0, after an unanswered call)
Hi {{1}}, this is {{2}} from {{3}}. You enquired about {{4}} and I just tried calling you. When is a good time to talk today? You can also reply here with your question.
WhatsApp B (Day 4, something useful)
Hi {{1}}, here are the details on {{2}} most people ask about first: {{3}}. Reply with a good time and I will call you.
WhatsApp C (Day 10, a direct question)
Hi {{1}}, I have tried reaching you a few times about {{2}}. Should I keep your enquiry open? Reply 1 for a call this week, 2 for next month, or 3 if you no longer need it.
WhatsApp D (Day 14, closing)
Hi {{1}}, I am closing your enquiry about {{2}} for now so we do not keep disturbing you. Reply here any time to restart it.
SMS 1 (Day 1)
Hi {#var#}, we tried calling about your {#var#} enquiry. Please call us on {#var#} when free. - [Your business name]Message C does the most work. A numbered reply is easy to send, and even a "3" helps: it lets you close the lead honestly instead of calling it for another month.
How follow-ups run in atomcrm.ai
atomcrm.ai is a CRM for Indian teams that sell on the phone and WhatsApp. Here is how the checklist and cadence map to its screens.
- Make the next date compulsory. You name the stages. Set "Contacted, follow up" to require a next-callback date and "Visit booked" to require an appointment, so a lead cannot move into either without a next step.
- Assign on arrival. Leads are assigned the moment they arrive by round robin, weighted, capacity or performance rules. Leads that match no rule stay unassigned and visible, and the Assign board lists, per stage, leads with no callback booked.
- Work the callback queue. Each caller has tabs for Overdue, Due today, Upcoming and All pending, oldest first, and each card shows the last comment. A reminder arrives 15 minutes before a callback is due. Here is how the callback queue works.
- Log each attempt in Quick Update. One panel records whether the call connected, the stage, a status such as "Not responding" or "Switch off", a one-line comment and the next callback date and time; Save & Next opens the next lead. At each attempt the caller enters the date from the cadence table's last column. A lead has one pending callback at a time, so the new date replaces the old one, and a callback not done on its day is marked missed but stays in Overdue.
- Keep WhatsApp on the lead. The WhatsApp inbox connects through Meta's WhatsApp Cloud API or Gupshup, links each chat to its lead and shows the 24-hour rule in the chat. Templates are written in the CRM, submitted to Meta for approval and synced back. SMS goes through MSG91 or Twilio.
- Automate on events, not timers. Automations run on triggers. On lead created, send an acknowledgement template and schedule a callback; on callback missed, reassign the lead or create a task. The cadence itself runs on callback dates, not timers. The follow-ups and callbacks guide explains how callbacks, tasks and appointments differ.
- Check adherence weekly. The team leaderboard shows calls, connect rate, talk time and follow-up adherence per person, and there is a standard callbacks report. On Android phones, the Call Pro app logs every call on the lead with its outcome, duration and recording, so attempts are counted without typing.
Best for: clinics, real estate, coaching, loans and insurance, and other teams whose leads come from ads, calls and WhatsApp and are worked by telecallers. Not the right fit if your main follow-up channel is email sequences, or you need a native app for iPhone or a built-in dialer that places calls on its own.
Frequently asked questions
What is the best CRM for follow up?
There is no single best one; it depends on how your team follows up. Email-first B2B teams want sequence tools. Teams that call and WhatsApp their leads should score each option on the 12-point checklist above, drop any tool that scores zero on the first four rows, and run a real week of leads through the one they shortlist before paying for a year.
Can a follow up reminder app work for a sales team?
For one person, yes. For a team it breaks in three places: nobody else can see the reminders, a missed alarm leaves no overdue list, and the leads leave with the phone when the person leaves. Once two or more people call leads, you need a shared queue.
How many times should you follow up with a lead before closing it?
There is no fixed rule; it depends on your sales cycle. The cadence here uses eight call attempts and five messages over 14 days, at different times of day, and ends with a message that lets the person close the enquiry themselves. Leads who answer and say "later" are not closed; they get one follow-up on the date they gave.
Can lead follow-ups be fully automated?
Parts of them can, but a person still makes the calls. Software can send an acknowledgement template when a lead arrives, schedule the first callback, reassign a lead whose callback was missed and send a closing template to a whole segment. No automation can decide when the next call should be after a real conversation. That date comes from the caller, so a compulsory next date matters more than any automation.
Load the cadence for this week's new leads
Take this week's unanswered leads, give each one the next date from the cadence table, and count how many are overdue by Friday. To run it in atomcrm.ai with your own lead sources and stages, start a 14-day trial for ₹5 (the plan you pick auto-debits after the trial), or book a 20-minute demo to see the callback queue and Quick Update on a test lead.
