If you want telecalling CRM software free of cost, the safest option is not an app at all: a shared sheet with fixed columns, your phone's own dialler, WhatsApp Business labels and a daily callback routine. That works for one or two callers. It stops working when ad leads arrive faster than anyone can copy them, callbacks slip, or nobody can see who called whom.

Telecalling CRM software free: what the options really include
Search for "telecalling software free download" or "telecaller app free" and the results fall into three groups.
- Free plans from CRM vendors. Real products, with limits on users, records or features you should read before moving data in.
- Free telecaller apps and APK files. Some come from publishers with no company name or support contact you can verify, and to log calls they want your call log and contacts: your entire customer list.
- Tools you already have. A Google Sheet, the phone's dialler and the WhatsApp Business app. They cost nothing and no new company gets your customer data.

Six questions before you install any free telecaller app
- Who publishes it? A company name and support contact you can check.
- Where is the data stored, and who is it shared with?
- Which permissions does it want? Call log, contacts and SMS together hold your customer list.
- Can you export everything as a CSV, even after you stop using it?
- When a caller resigns, does the data stay with you or their phone?
- Where did the file come from? An APK forwarded on WhatsApp, or downloaded from a site with no named company behind it, skips Play Store review.
Customer phone numbers are personal data under India's Digital Personal Data Protection Act, 2023, so check the current rules with a professional before you hand your list to any app.
A zero-cost telecalling setup: the sheet format and daily routine
Run the dialler and the WhatsApp Business app on a business-owned phone and SIM, so call history and chats stay when a caller leaves. Give WhatsApp labels the same names as the sheet's stages.
The sheet format
Share the sheet only with named callers, never "anyone with the link", and fix these columns for the first month. Dropdowns stop "Intrested" and "interested " becoming two stages.

Column I is the one people get wrong. Write 30/09 wants weekend batch, will ask husband about fees | 28/09 no answer instead of replacing yesterday's note, or the fourth call starts from nothing. Columns B to F (name, phone, source, caller, stage) are the fields CRM import screens usually ask for, so most of your migration file already exists.
The daily routine

New leads go ahead of retries after every paste, while the enquiry is fresh (why first-response time matters most). A lead arriving at 3 pm still waits until morning, the first row of the symptom table below.
Free callback tracking that works for one or two callers
Add a helper column K with this formula, then a conditional format that turns OVERDUE red and TODAY amber:

Three rules keep it honest:
- No row leaves a call without a Next callback or a closed stage. A blank column H on an open lead is a forgotten lead.
- One pending callback per customer. If the time moves, overwrite column H. Never add a second row.
- Confirm the promise twice. Say it on the call, send it on WhatsApp, label the chat Callback.

A promise in column H is kept only if the caller who made it opens the sheet and filters, and when that caller is on leave, nobody is told their callbacks are due.

The cost of staying free, worked out
Say a coaching institute in Jaipur has two telecallers working Meta lead ads. Every figure below is hypothetical.

The 62 slipped callbacks, at 1 in 20, are about 3 lost admissions, or ₹45,000 of margin, more than the ₹43,200 the ads cost. A callback queue shows overdue promises, but someone still has to dial, so count half: 31 callbacks at 1 in 20 is about 1.5 admissions, roughly ₹23,250. Moving from the free setup to atomcrm.ai

- Replace both daily pastes with an assignment rule. Round robin, weighted or capacity assignment runs the moment a lead arrives, with a daily cap per person.

- Replace the notes column with Quick Update. One panel per call: connected or not, stage, status, a comment and the next callback, then "Save & Next".
- Keep the list with the business. Roles can be limited to their own leads, their team's or everything, and phone numbers can be masked.
