WhatsApp CRM software for a sales team has to do more than share an inbox: every chat should sit on a lead with an owner, a stage and a next follow-up date. In India, choose a tool on the official WhatsApp Business Platform that shows the 24-hour reply window, submits templates to Meta for approval and keeps calls and chats on one timeline.
Most "best WhatsApp CRM" lists review chat tools. If your team sells on calls and WhatsApp together, the real test is whether a chat turns into a sale that one person is responsible for. Here is how to check that on any vendor.
WhatsApp inbox tool or WhatsApp CRM software: the difference that matters for sales
An inbox tool answers service questions. Who replied, how fast, is the chat open or closed? It is built for a support desk, where a conversation ends when the problem is solved.
A sales conversation ends only when the person buys or clearly says no. In between come calls, a price discussion, a visit or a demo, and three or four follow-ups spread over days.
Take a hypothetical case. A skin clinic in Hyderabad gets a WhatsApp message at 9:40 pm asking the price of laser hair removal. In an inbox tool, someone replies next morning, the patient says "ok thanks", and the chat is marked resolved. In a sales CRM, that chat sits on a lead with a counsellor assigned, a stage such as "Price shared" and a callback due at 11 am. When the patient phones two days later, whoever picks up sees the chat, the price quoted and the last comment on one screen.
Five questions separate the two kinds of tool:
- Does each chat attach to a lead, and does a repeat enquiry from the same number land on that lead instead of a new one?
- Does every lead have one owner, set by a rule rather than by whoever opens the chat first?
- Are chats, calls, comments and stage changes on one timeline?
- Does the next follow-up get a date that shows up in someone's queue?
- Can a manager see WhatsApp leads by source, stage and owner, and how many became customers?

Three ways WhatsApp CRMs are built: app labels, browser extensions and the official API
Before comparing features, find out how each tool connects to WhatsApp. That decides where chats live, how many people can work one number, what you pay Meta and how exposed the number is to a ban.
1. The WhatsApp Business app with labels
The free Business app gives you labels, quick replies, greeting and away messages, and a catalogue. Labels like "Price sent" and "Follow up Monday" make a rough pipeline for a founder or one salesperson. It stops working when several people need the same chats, or when someone leaves with the phone that holds them. And labels carry no dates, so "Follow up Monday" reminds nobody on Monday. 2. Browser extensions on WhatsApp Web
Extensions add a panel to WhatsApp Web where you see contact details, add notes or a stage, and set reminders. They are quick to start, use your existing number and need no template approval.
The trade-offs come from the connection. Chats still belong to that one WhatsApp account; each browser is just a linked device of the same number, so everyone works inside one shared login with no owner per chat. And WhatsApp's Terms of Service do not allow bulk messaging or auto-messaging; WhatsApp says accounts that send spam, automated or bulk messages can be banned. Keeping to one-to-one chats typed by a person is not the whole answer either. The same terms also bar altering or modifying WhatsApp's service, so read the current terms before installing one; any ban risk sits with your number. 3. The official WhatsApp Business Platform (API)
Here your number connects to software through Meta's Cloud API directly, or through a Meta partner often called a Business Solution Provider (BSP). Messages arrive in the software, not on one phone, so a whole team works from one business number.
The rules are stricter. People must have opted in. Anyone who has not written to you in 24 hours can only receive a Meta-approved template, and Meta charges for templates. Setup takes days: a Meta business portfolio, a display name Meta reviews, and templates approved before you need them.

One thing the table cannot show: the official API is plumbing, not a CRM. Two tools on the same API can be completely different sales tools, so the scoring table further down tests the CRM, not the connection.
The 24-hour window and approved templates, explained for sales teams
When a customer messages your business, a 24-hour customer service window opens, restarting each time they write. Inside it, your team sends normal free-form replies, and Meta does not charge for them. Once 24 hours pass since the customer's last message, the only way to reach them on WhatsApp is an approved template. A chat that starts from a click-to-WhatsApp ad can open a longer, 72-hour free window if you reply within the first 24 hours.
Since 1 July 2025, Meta has charged per delivered template rather than per conversation. Templates are marketing, utility or authentication. Marketing is always charged; utility is free inside an open window and charged outside it. Rates vary by category and country, so check Meta's WhatsApp pricing page for current India rates.
What this means for a sales team:
- Reply speed changes what you can say. A reply inside the window is free and can answer the question. A reply more than 24 hours after their last message must be a pre-approved template, with fixed wording written before you saw their question, so it rarely answers what they actually asked.
- Follow-up templates must exist in advance. Meta reviews every template, can reject it and decides its final category, so get your day-three nudge and appointment reminder approved before launch.
- Agents need to see the window. Otherwise telecallers type free replies after 24 hours and watch them fail.
- Opt-in is your job. WhatsApp's Business Messaging Policy says you may contact people only if they gave you their number and opted in, and you must honour requests to stop. A WhatsApp consent line on your lead form is the simplest record.
Three templates most sales teams need
A message nudging someone to buy is usually treated as marketing; a reminder about something they booked, as utility. Double-brace numbers are variables, filled in for each person when the template is sent.

These rates are round placeholders for the arithmetic, not Meta's prices: ₹1 per marketing template, ₹0.20 per utility template outside the window.
Say a real estate team in Pune gets 900 WhatsApp enquiries a month. Team A answers every one inside 24 hours. Team B answers 300 enquiries more than 24 hours after they arrive (Saturday and early-Sunday messages picked up on Monday afternoon).

The extra ₹300 is not the real cost. The real cost is 300 people who asked the price of a 2BHK and got a fixed template instead of an answer to their question. Some never write back.

Use this on every vendor, including what you use today. Score each row 0 (not possible), 1 (workaround or paid add-on) or 2 (shown working in the demo). Double the score on rows your team uses daily.

A 0 on any row your team does daily rules a tool out, whatever the total.
Weighting changes the answer. Say a coaching institute in Kota with six counsellors compares a broadcast platform that scores 2 on campaigns but 0 on follow-up dates, with a sales CRM that scores 2 on follow-up dates and owner rules but 1 on campaigns. Its counsellors spend the day on callbacks and demo-class bookings, so those rows are doubled and the sales CRM wins. An institute that mostly announces batches to past students could weight the same table the other way.

Questions to ask in a WhatsApp CRM demo
Demos run on clean sample data. Bring your phone and ask for these live:

- Add an assignment rule (round robin, weighted, capacity or performance) with a daily cap and a fallback person.
- Add one automation. On "message received", with a condition on channel, assign the lead or schedule a callback.
- Mask numbers to the last four digits for roles that should not see them.
- Read the reports after a week: leads by source, stage and owner, and the callbacks report.

Is the WhatsApp Business API free in India?
Not fully. Free-form replies inside the 24-hour customer service window cost nothing, and so do utility templates sent inside it. Marketing templates are charged on every delivery, and utility templates are charged when sent outside the window. Meta publishes rates by country on its pricing page. The CRM or partner charges separately for the software, so budget both.
