Capture: must-haves 1 to 4

1. Lead ad sync. A Meta lead downloaded next morning is twelve hours old before anyone dials. Leads should be pushed in as they are submitted, and backfill should pull back anything missed when a page permission changes or a connection drops.

2. Website form capture. Every form should post in through its own link (a webhook), keeping the UTM parameters and the Google click ID (gclid). Without the source, you cannot tell which campaign brings buyers and which brings browsers.

3. IVR, missed-call and WhatsApp leads. A missed call from someone who saw your ad is a paid lead. If it never becomes a record, it never gets a follow-up and never shows up in your cost per lead.

4. Duplicate check on the mobile number. The same number gets typed as 98xxxxxxxx, +91 98xxxxxxxx and 098xxxxxxxx. Matching on the last 10 digits adds the repeat enquiry to the existing record, so two people do not call one customer on the same afternoon.

7. A mandatory next-callback date. This is the most useful single setting in any lead tool. If a lead cannot enter a follow-up stage without a date and time, the follow-up stops depending on memory.

Free lead management software: what free plans usually leave out
