The doctor will check your skin and hair and tell you how many sessions she
suggests and what you can expect. I can't tell you that on the phone, because
it really does vary from person to person.

I have Saturday at 11 or Sunday at 4. Which one suits you?

[Booked] Done. I'm sending the address, the time and the doctor's preparation
instructions on WhatsApp now. Please reply OK once you get it.

The "OK" is deliberate. It confirms the number works, and the patient's reply opens the 24-hour window in which you can message freely.

If you send from the WhatsApp Business API, this first message has to be an approved template, because the patient hasn't written to you yet. Keep a "booking confirmed" template approved for it.

When they say "just tell me the package price"

Don't refuse and don't invent a figure. Give the range from your price sheet and bring it back to the consultation:

"For full legs, packages on our price sheet run from ₹X to ₹Y, depending on the number of sessions the doctor advises. The offer session lets you meet the doctor and try one session before you decide."

Three things a counsellor never says

  • "Permanent", "guaranteed" or "100% results". Results depend on the patient, and only the doctor can set expectations.
  • A package price that is not on the price sheet.
  • "The offer ends today" when it doesn't.

Moving a WhatsApp chat to a booked consultation

A patient who messages "price?" at 11 pm doesn't want a brochure. Reply in three parts: answer the question, ask one question, offer two slots. Every message should end with a question or a choice.

If two exchanges pass without a slot, ask: "Can I call you for two minutes? It's quicker to find a time that way." If they say no, keep going in the chat.

Timing matters because of WhatsApp's 24-hour rule. You can reply freely within 24 hours of the patient's last message; after that, only a Meta-approved template can be sent. This is the second visit problem. The patient took the offer session, heard a package quote, and said "I'll discuss at home." Many clinics call once, hear "still thinking", and stop. Skin clinic package selling depends on the three weeks after that sentence.

Three rules first:

  1. Quote in writing the same day. Send the package, the sessions the doctor recommended, the price and the validity date on WhatsApp.
  2. One owner. The counsellor who sat in on the consultation owns the follow-up until the patient buys or says no.
  3. The offer follow-up rule. An offer has one real end date, stated once in writing and once on a call. A patient who comes back after it pays the regular price or waits for the next published offer. No private extensions, or patients learn that "thinking about it" earns a discount.

This only works if no quoted patient is ever left without a next date, and if the package and price quoted are written on the lead, not in a counsellor's diary.

Two objections come up again and again on the day-2 call. Give counsellors one reply for each:

  • "It's too expensive." "I understand. Is it the total, or paying it all at once? If it's paying at once, we can split it across the sessions." Use this only if your clinic offers split payment.
  • "I need to ask my husband." "Of course. I'll send the doctor's recommendation and the price on WhatsApp so he can read it too. Shall I call you both on Thursday evening?"

Session-by-session reminders for laser and peel packages

A sold package isn't finished work. A patient who stops halfway rarely tells the clinic why, and is unlikely to recommend you. Run the same routine for every session:

  1. Book the next session before the patient leaves, at the gap the doctor has set.

Say one counsellor quotes ₹20,000 for a full-leg package, and two days later another quotes ₹16,000 to the patient's sister. They compare screenshots. Now both counsellors look unreliable, and the first patient wants the lower price.

A checklist to keep quotes consistent:

  • The sheet carries a version date, and the owner or medical director signs off on changes.

  • Discounts beyond the limit carry the approving manager's name.
  • Once a month, a manager compares recorded quotes against the sheet.
