Zoho CRM alternatives for small business in India fall into four groups. For a lighter or deal-led CRM, look at Zoho's own Bigin, HubSpot's free CRM, Pipedrive or Freshsales. What Zoho CRM is built around

Zoho describes Zoho CRM as an AI CRM. Its website lists Zia, advanced workflows and no-code functions, Canvas for custom layouts, and connections to over 1,000 applications. A free edition covers up to three users with leads, deals, workflows, reports and a mobile app.

The strength is breadth. You can shape modules, layouts and automations around almost any sales process. The flip side is that the more you shape it, the more someone on your side has to decide, build and maintain. For a company with a sales-operations person, that is the point. If you are a clinic owner with four telecallers and no admin, decide who will own that work before you buy any configurable CRM.

Zoho itself points smaller teams to Bigin, a CRM it describes as built for small businesses with 1 to 20 employees. And if the test below says you need a configurable CRM, the answer may be a better Zoho setup rather than a new tool.

When a small business looks for Zoho CRM alternatives

Owners rarely switch because a feature is missing. They switch because the team's day does not match the shape of the tool, or because the setup that would make it match never got done. The usual triggers:

  • Selling happens on calls and WhatsApp, not email. Telecallers need a list of who to call now and one screen to log each call.
  • Nobody owns the setup. Stages, assignment and follow-up rules are still on the to-do list months after purchase.
  • Ad leads arrive late. The lead ads connection was never set up, so Meta and Google leads still reach the team as a downloaded sheet.
  • Follow-ups slip. Nobody made a next-callback date compulsory, so no one sees which callbacks were due yesterday and not done.

If most of your triggers are the last three, fix the setup first. A new CRM set up the same way will slip in the same places.

What a slow lead costs, in rupees

A hypothetical example. Say a dental clinic in Pune spends ₹60,000 a month on Meta lead ads at about ₹250 a lead, so roughly 240 enquiries. The leads reach the telecallers as a sheet once a day, and one in eight goes cold before the first call. That is 30 leads, or ₹7,500 of ad spend a month that nobody spoke to.

If one lead in ten normally books a treatment worth ₹15,000, those 30 leads are about three patients, or ₹45,000 of treatment value, every month. That figure, rather than the length of a feature list, is what any CRM on your shortlist has to protect.

How to read it. Three or more yes answers in questions 1 to 4, with one or none in 5 to 8, points to a telecalling-first CRM such as TeleCRM, Kylas, Privyr or atomcrm.ai. The reverse points to Zoho CRM itself, set up properly, or a lighter or deal-led CRM such as Bigin, HubSpot, Pipedrive or Freshsales. If question 6 was a firm yes, add LeadSquared to that list. Neither answer is better. A property developer with a marketing team and a sales-ops analyst may be right to keep a configurable CRM. A skin clinic in Indore with three telecallers and a receptionist usually is not.

"Built around" matters more than a feature tick. Most CRMs can log a call or store a WhatsApp number; the question is whether a telecaller's whole day is designed around calling or around deals and email. Also ask every vendor how it bills (per user or per workspace) and what is charged separately. Meta charges for WhatsApp template messages, directly or through your provider, on top of any CRM fee. Free Zoho CRM alternatives and what they include

People searching for free Zoho CRM alternatives usually mean one of three things.

  • Free tiers. HubSpot describes its CRM as free with no expiration date. Bigin has a free plan for one user, with a single pipeline and a record cap. Zoho CRM's own freemium edition covers up to three users.
  • Trials. Pipedrive advertises a 14-day trial and Freshsales a 21-day trial, both with no card needed. These are for evaluating, not for running the business.
  • Open source. SuiteCRM and EspoCRM can be downloaded and hosted on your own server, and both also offer hosted or supported options. The download costs nothing. The server, updates, backups and the person who fixes it on a Saturday do not.

Before you rely on a free option, ask:

  1. What happens when your fourth telecaller joins?
  2. Do Meta and Google lead ads arrive by themselves, or does someone upload them?
  3. Can a stage require a follow-up date, or is a reminder only a suggestion?
  4. Is WhatsApp the official Business API with a shared inbox, or a chat on one phone?
  5. Can you export every lead, note and call history if you leave?

Not the best fit if you need a native app on iPhone (the CRM is a responsive web app, and the only installed app is Call Pro for Android), a built-in power or predictive dialler (calls are placed by tapping a number), or deep ERP and accounting integrations.

What the first day of setup looks like

  1. Connect lead sources. Log in with Facebook, pick the ad account and page, and map each lead form to fields, a source, a starting stage and an owner. Leads missed in the last 90 days can be backfilled. Each website form gets its own private webhook URL.
  2. Set assignment. Choose round robin, weighted, capacity or performance rules, with a daily cap per person and a fallback person. Leads that match no rule stay unassigned and visible.
  3. Make follow-ups required at the right stages. Set your callback stage (for example, one you name "Call back later") to require a next callback date, and your appointment stage to require an appointment before a lead can move into it.

Moving from Zoho CRM: a one-week switch plan

Start with Zoho CRM's own export, which its help pages place under Setup, Data Administration.
