CRM for Insurance Agents in India: Prospects, Policies and Renewal Follow-Ups
What a CRM for insurance agents in India should track, from the first prospect call to policy issue and every renewal after it, with stages, fields, a renewal schedule and WhatsApp templates.
A CRM for insurance agents in India should hold every prospect, each client's family and policy details, and a dated callback for every premium or renewal coming up, so nothing depends on memory or a diary. The insurer's systems issue the policy and record the premium. The CRM runs the conversation around it: prospecting calls, need-analysis meetings, WhatsApp reminders and renewal follow-ups.
Search for insurance CRM and many of the results are agency-management systems designed for the US market, built around carrier integrations and commission accounting. An Indian agent, POSP or small agency usually needs something plainer: who to call today, the family behind each policy, and WhatsApp.
What a CRM for insurance agents in India needs, and what the insurer's portal already does
Split the work in two first. Your insurer already gives you systems for the policy itself, so don't buy a CRM to copy them.
| Job | Insurer's portal or app | Your CRM |
|---|---|---|
| Proposal, underwriting, policy issue | Yes | Only the stage and a note |
| Premium receipts, policy status, commission | Yes | No |
| Prospects who haven't bought yet | No | Yes |
| Family, referrals, who decides | No | Yes |
| Every call, comment and WhatsApp chat | No | Yes |
| Renewal and premium-due follow-up calls | May show a due list | Yes, as dated callbacks |
A checklist to score any CRM software for insurance agents
Take ten real clients into each demo and score every line 0, 1 or 2:
- Custom stages, with a rule that forces a next-call date before a lead moves on.
- Custom, filterable fields for policy type, sum assured, premium, premium mode and renewal date.
- A callback queue that puts overdue calls first.
- One record per person, so a repeat enquiry from a client lands on the same lead.
- WhatsApp on the official Business API, with approved templates for messages after the 24-hour window.
- Capture from Meta lead ads and your website, if you advertise term or health plans.
- Role-based access, with phone numbers hidden from roles that don't need them.
- Works in a phone browser, with call logging on Android.
- Callbacks done versus missed, by person.
- Rupee pricing and a GST invoice.
A tool that scores 0 on lines 1, 2 or 3 will leave your renewals in the diary, whatever else it does well. The best CRM for insurance agents is the one that scores highest with your own ten clients loaded, not the one with the longest feature list.
Stages for a new policy sale: prospect, need analysis, quote, proposal, issued
Keep stages to what actually happens in an Indian life or health sale, and attach rules so no lead sits in a stage without a next action.
| Stage | Move a lead here when | Rule on the stage |
|---|---|---|
| New prospect | Enquiry, ad lead or referral received | None |
| Interested | You spoke and they want to discuss cover | Requires next callback date |
| Need analysis | Meeting fixed to go over family, income and existing cover | Requires appointment |
| Quote shared | Quote or benefit illustration sent | Requires next callback date |
| Proposal submitted | Form and premium with the insurer (sub-stages: medicals pending, documents pending, underwriting query) | Requires next callback date |
| Policy issued | Client has the policy document | Converted stage, closes as won |
| Not interested / Not eligible | Declined, or proposal not accepted | Disqualified group, closes as lost |
Keep the reason a lead is stuck out of the stage list and use statuses instead: "Not responding", "Spouse to decide", "Premium too high". Quote shared plus "Spouse to decide" tells anyone what the next call is about.
Fields worth storing: family members, policy type, sum assured, renewal date
You sell to families, and your next sale often comes from your own book. These fields earn their place:
| Field | Type | Why it matters |
|---|---|---|
| Policy type | Dropdown: Term, Endowment, ULIP, Pension, Health individual, Health floater, Motor | Decides which fields show and which template you send |
| Policy number | Text | Finds the policy on the portal fast |
| Sum assured (life) | Currency | Cover bought before a child was born deserves a review |
| Sum insured (health) | Currency | A floater bought for two may be thin for four |
| Annual premium | Currency | Sizes your renewal book in rupees |
| Premium mode | Dropdown: Yearly, Half-yearly, Quarterly, Monthly | Sets the reminder rhythm |
| Next due date | Date | Every renewal callback is set from this |
| Family members | Text | "Wife Neha, son Kabir, 6" shows who else may need cover |
| Nominee recorded | Checkbox | A standing question on every review call |
Use conditional rules to show Sum assured (life) only when Policy type is Term, Endowment, ULIP or Pension, and Sum insured (health) only for the two health types. A Motor policy shows neither; its insured value stays on the insurer's portal. Put Next due date on the per-call update panel so it is filled while the client is on the line. The help page on lead fields and stages covers each field type.
Renewal follow-ups as scheduled callbacks
atomcrm.ai does not read the renewal date and create reminders by itself. A renewal follow-up is a callback you book, with a date and time. That is more manual than a date trigger, but every renewal call gets a named owner and sits in Overdue if missed.
Two habits make it work:
- One pending callback per client. Setting a new date replaces the old one. For a family with three policies, book the earliest due date first, then the next one when you close that call.
- Every call ends by booking the next. That chain is your renewal system.
A sample renewal schedule
Say Rakesh pays ₹18,500 a year on a term plan, due on 15 March 2027:
| When | Channel | What to do |
|---|---|---|
| 45 days before (29 Jan) | Call | Review: any change in family, income, address or nominee? Note any cover gap. |
| 30 days before (13 Feb) | WhatsApp template | Premium-due reminder with amount and date |
| 10 days before (5 Mar) | Call | Confirm how they will pay |
| Due date (15 Mar) | Portal check | If paid, book next year's review call |
| Within the grace period | Call | Last reminder; the grace period is in the policy terms |
| After lapse | Call | Revival conversation, following the insurer's rules |
Monthly payers on auto-debit need one annual review, plus a call when an instalment is missed. Start earlier for health policies, since a late renewal can cost continuity benefits such as waiting periods already served; check the policy terms.
What a missed renewal costs, in rupees
Take a hypothetical three-person agency in Nagpur with 600 policies in force at an average annual premium of ₹22,000. That is a renewal book of ₹1.32 crore, with about 50 policies due each month. The schedule above gives each policy two calls and a WhatsApp reminder, so roughly 100 calls a month plus a few grace-period calls, about 5 per working day across the team.
Now suppose patchy follow-up lets 4 extra policies a month lapse. Over a year that is 48 policies and ₹10.56 lakh of premium that doesn't renew, and with it the renewal commission you would have earned on that premium.
To keep the chain intact, each Monday filter the leads list on Next due date between that day and 60 days out (save it as a view and pin it to the sidebar, then update the dates weekly). Then open the Assign board, which lists leads with no callback booked, and book a call for any renewal client on it. Here is how the callback queue works, with Overdue, Due today and Upcoming tabs and a reminder 15 minutes before each call.
WhatsApp templates for premium-due reminders and new plans
You can reply freely within 24 hours of a client's last message. After that, only a Meta-approved template can go out, and a premium reminder almost always goes out cold. In atomcrm.ai you write templates in the CRM, submit them to Meta, and they sync back once approved.
Send premium-due reminders one at a time from each client's chat, since each has its own amount and date. Use a campaign, which sends one template to a segment now or on a schedule, for messages that are the same for everyone.
Premium-due reminder
Hello {{1}}, a reminder that the premium of ₹{{2}} for your {{3}} policy (no. {{4}}) is due on {{5}}. Reply here if you need the payment link or have a question. {{6}}, your insurance advisorAnnual cover review
Hello {{1}}, it has been a year since we looked at your family's cover. If anything has changed, such as a new job, a home loan or a new family member, reply REVIEW and I will call at a time that suits you. Reply STOP to stop these messages. The review template invites a conversation instead of pitching a named plan. If you promote a product, use the insurer's approved wording, since insurance advertising is regulated. Honour every STOP with a status such as "No messages". The WhatsApp CRM page covers the shared inbox.
Setting up an insurance agency in atomcrm.ai
A one-person practice can skip steps 5 and 6.
- Stages. Create the stages above with their rules, and make Policy issued the converted stage so it counts as won in the conversion funnel.
- Fields. Add the policy fields and mark the key ones for Quick Update, the one panel per call for connected yes or no, stage, status, comment and next callback. "Save & Next" opens the next lead.
- Import your book. A CSV takes up to 5,000 rows per file and each row needs a phone or email. The import doesn't check duplicates, so clean the sheet to one row per person. After that, a repeat enquiry from the same number or email lands on the existing lead.
- Lead sources. If you advertise, connect your Meta ad account and page, map each lead form to fields, stage and owner, and backfill missed leads from up to 90 days.
- Distribution. Assign new leads on arrival by round robin, weighted or capacity rules, with a daily cap per person. A "Client referral" source can bypass the rules and go straight to the senior agent.
- Roles. Give telecallers "own leads" scope and team leads "team". Mask phone numbers to the last four digits for roles that don't need them.
- Calls and WhatsApp. Numbers dial on a click. Call Pro, the Android app, logs each call's outcome, duration and recording on the lead. Connect WhatsApp through Meta's Cloud API or Gupshup for one team inbox.
- Automations. When a lead moves to Policy issued, send a welcome template and add a note. When a callback is missed, create a task.
A year on, the "Before you call" brief summarises what was said last time, which helps on review calls. See CRM for loans and insurance for the wider product. atomcrm.ai is not the right fit if you need insurer-portal integration, commission reconciliation, an iPhone app or an auto-dialer. If you also sell mutual funds or loans, the same approach works for SIP prospects and loan files.
Frequently asked questions
Can a CRM send policy renewal reminders automatically?
Some CRMs trigger messages from a date field, so ask in every demo. In atomcrm.ai, renewals run as scheduled callbacks: you book the call from the next due date, the queue reminds you 15 minutes before, and missed calls stay in Overdue. WhatsApp reminders go out as approved templates.
Can an insurance CRM integrate with the insurer's agent portal?
atomcrm.ai does not integrate with insurer portals, so policy issue, premium receipts and commission statements stay there. When a policy is issued, you copy a few fields into the CRM: policy type, number, premium, mode and next due date. The CRM then holds the calls, chats and callbacks.
What should health insurance agents look for compared with life insurance agents?
Most health policies renew every year, so the callback queue and on-time reminders matter most, plus fields for sum insured and floater members. Life agents handle long terms and several premium modes, so premium mode, nominee and a yearly review call matter more. The same stages and checklist suit both.
Can a POSP use a CRM on a mobile phone?
Yes. atomcrm.ai is a responsive web app that works in a phone browser, and numbers dial on a tap. Android users can add Call Pro to log calls and recordings on each lead. There is no iPhone app, so iPhone users work in the browser.
Load next quarter's renewals as callbacks this week
Pull every premium due in the next three months from your insurer's portal or register, import those clients, and book the first call for each. Within a week you will know whether the chain holds. Start a 14-day trial for ₹5 with your own lead sources and stages, or book a 20-minute demo to see the renewal setup first.
