Two rules follow. Don't copy client portfolios into the CRM; the copy goes stale and you end up with two versions of the truth. But do keep a client's spouse, parents or grown-up children as leads until they invest, because they are prospects.

If your back office has a prospect module and you do all the calling yourself, that may be enough. Separate software earns its place once two people call prospects, or seminars and ads bring in more names than you can remember.

Tie each stage to a fact, not a feeling. "Interested" is a feeling. "Meeting booked for Saturday, 11 am, at their home" is a fact.

Count the first SIP as the win, not the meeting. The meeting is where prospects stall: they like the plan, the spouse wants to think, the salary date passes. A pipeline that ends at "meeting done" keeps you busy without showing why the SIP book isn't growing.

"KYC and mandate pending" gets its own stage because it is where a yes quietly turns into a no. Someone has to chase the PAN copy, bank details and mandate on a fixed date.

Referrals are usually your warmest leads, and the client who referred a colleague will ask how it went. Record who referred each lead.

Cleaning a seminar list before you import it

  • One row per person, even if a couple attended together.
  • A 10-digit mobile number in its own column, without "+91" or spaces.
  • A source column with the seminar name and month, such as "Seminar Indore Sep".
  • Remove existing clients and anyone already in your prospect list.
  • Remove anyone who did not agree to calls or WhatsApp on the sign-in sheet.

A worked example: what one seminar is worth

Say a distributor in Indore spends ₹40,000 on an evening session for 120 salaried attendees. Here is a made-up funnel, with loose and with disciplined follow-up.

Meetings and callbacks that do not slip

One rule fixes most leaks: no prospect leaves a call without a next date. A meeting is booked, a callback is set, or the lead is closed with a reason.

A sample schedule after a seminar:

  1. Same evening: the approved Post-seminar WhatsApp template (below) to everyone who opted in.
  2. Day 1 or 2: first call. The aim is a 30-minute meeting, not a fund discussion on the phone.
  3. Day 3 or 4: second attempt at a different time. Salaried prospects are often easier to reach after office hours.
  4. Day 7: third attempt, plus a second approved template if they have not replied.
  5. Day 14: last attempt. If still unreachable, record the reason and set a callback three months out, before your next session.

After the meeting, send the plan summary the same day and call two days later. If they say yes, move them to "KYC and mandate pending" with a callback on the date they promised documents. If they say "after salary", set the callback for the day after salary credit, not "next month".

Record why a lead is stuck separately from its stage: "Spouse to decide", "Waiting for bonus", "Not responding". If half your stalled meetings say "Spouse to decide", start inviting spouses.

WhatsApp for distributors: templates, opt-in and the 24-hour window

Many prospects reply on WhatsApp sooner than they pick up a call. But you need their opt-in first, and you can reply freely only within 24 hours of their last message. After that, you can send only a Meta-approved template.

Mutual fund communication is also regulated. Keep messages factual, don't promise returns, and add the standard risk disclaimer where you mention schemes. AMFI's code of conduct and SEBI's rules change, so check the current versions or a compliance adviser before running a campaign. The Digital Personal Data Protection Act, 2023 also affects how you collect prospects' details.

Setting up an MFD practice in atomcrm.ai

  1. Stages. Create the seven stages above. Make the three follow-up stages require a next callback date and "Meeting booked" require an appointment, which then shows in the appointments calendar. Make "First SIP registered" your Converted stage so it closes the lead as won, and put "Not interested" in the Disqualified group.
  2. Statuses. Add the stuck reasons as statuses. They label why a lead waits without changing its stage.
  3. Custom fields. Add Referred by, Goal, Intended monthly SIP (currency) and KYC status (dropdown). KYC status is a label your team updates; the CRM does not verify KYC. Put fields that change on calls into Quick Update, the panel a caller fills after each call.
  4. Seminar lists. Import each cleaned list as a CSV: up to 5,000 rows per file, each with a phone or email, and source and stage matched by name, and each owner matched by their login email.
