Stages for a package enquiry: requirement, quote sent, revised, advance paid
Name stages after where the customer is, not after activities like "called" or "WhatsApp sent", which say nothing about how close anyone is to paying.

Three rules make this work.
First, every quote stage (Requirement taken, Quote sent, Quote revised) needs a next follow-up date. An agent should not be able to mark Quote sent and move on without saying when they'll call. Of all the rules here, set this one up first.
Second, keep the reason a lead is stuck separate from the stage. "Dates not final", "Comparing with other agents", "Waiting for family decision" and "Budget issue" are status labels. They tell the manager why 40 quotes are sitting still without cluttering the funnel.
Third, Advance paid is the finish line for sales; vouchers, tickets and the balance payment belong to operations. And since Quote revised can repeat, save each quote version on the lead.
Fields that decide the quote: destination, dates, travellers, budget, hotel category
Put first-call answers in fields, not a free-text comment. Then you can filter ("Kerala, December, budget above ₹40,000 per person"), and a second agent can pick up the lead without asking the customer everything again.

[Save that time as the next callback before you hang up.]Question 7 is the one agents skip, and a decision-maker who wasn't on the call is a common reason behind "I'll let you know". If the father-in-law is paying, the second call should include him.
WhatsApp for travel: sending quotes and following up inside the 24-hour window
Most package customers want the quote on WhatsApp. For a team, chats must live in a shared inbox, not on agents' personal phones, so they stay with the agency when an agent leaves mid-season.
Then there is WhatsApp's 24-hour rule on the WhatsApp Business Platform. You can reply freely within 24 hours of the customer's last message; after that, only a template Meta has approved can restart the conversation. An international quote that depends on hotel rates can take a day or two, so the window may close before the PDF is ready.
- Send something before the window closes, even if the quote isn't ready, and ask a question: "Working on your Bali quote. Should I include flights from Mumbai, or hotels only?" Only the customer's reply resets the 24 hours.
- End every quote message with a question, so the customer's reply reopens the window.
- Get templates approved before the season starts.

Peak seasons: routing and capacity when enquiries triple
For many agencies the busiest weeks (before Diwali, over New Year, in the summer holidays) are also when enquiries go unworked, because agents are busy with customers who are already paying.
A worked example in rupees
Say an agency in Ahmedabad has four agents and 25 enquiries a day. In the three weeks before Diwali it runs Meta ads for Dubai, Goa and Kerala, and enquiries jump to 75 a day at ₹200 per lead. If each agent can properly handle 15 new enquiries a day alongside quote follow-ups, the team covers 60. The other 15 get a late call or none.
- Unworked enquiries over 21 days: 15 × 21 = 315
- Ad spend on them: 315 × ₹200 = ₹63,000
- If 1 in 20 would have paid an advance at ₹10,000 margin per package: about 16 bookings, roughly ₹1.6 lakh of margin
These numbers are made up. Put in last season's figures, then decide: add a seasonal agent, cap the ad budget at what the team can call, or both.
Routing rules for the season
- Split by trip type. Run separate lead forms or campaigns for international and domestic trips, and send each source straight to its team (international to the agents who handle visas).
- Assign by open load. Strict turns keep feeding an agent already sitting on 30 open quotes. A capacity rule sends the next lead to whoever has the fewest.
- Set a daily cap and a fallback person, such as the owner or a seasonal hire.
- Send referrals straight to your senior agent, outside the rules.
- Keep unmatched leads visible in an unassigned list the manager checks every morning.
