Even "customer enquiry management software" gets used for both kinds, so ask which one a vendor means. A quick test: if most of the last 50 people in your register have not bought yet, you need the sales kind, usually sold as a CRM or as lead management software for small business.

The format is sound. The register fails for other reasons:
- Enquiries never reach the sheet. The lead ad download nobody opened, the WhatsApp chat on a staff phone, the missed call nobody returned.
- No reminder. The follow-up date is just a cell. Unless someone filters on it every morning, the call does not happen.
- Repeat enquiries become new rows. More on this below.
- The data leaves with your staff. When a counsellor resigns, their sheet and WhatsApp chats go too.
What unworked enquiries cost: a worked example

Repeat enquiries: the problem most registers hide
Say a patient fills a Facebook form for aligners at a dental clinic in Chennai in March and does not book. In May she messages on WhatsApp after another ad. In June she walks in.
In a register that is three rows, possibly three staff calling her unaware of each other, and when she books, "walk-in" gets the credit instead of the ad that brought her in. Her number also arrives in different shapes:

Excel's Remove Duplicates sees three different values. Good software ignores the country code, spaces and leading zero, matches on the last 10 digits (or the email), and adds the new enquiry to the existing record as a repeat, so whoever calls her next sees the whole history.
If you stay on Excel for now, put the first formula in column L (with the mobile in column C) and the second in column M, then copy both down:

Free enquiry management software: what to check before you rely on it
Real free options exist: Excel or Google Sheets, the free WhatsApp Business app, and free plans from some CRM vendors. For one or two people with a few enquiries a day, they can be enough. Before moving a growing team onto one, check:
- Users. How many are free, and what happens when your third telecaller joins?
- Channels. Are lead ad sync and a shared WhatsApp inbox included, or paid add-ons?
- WhatsApp charges. Meta charges its own fees for most template messages on the WhatsApp Business Platform, separate from any software fee.
- Export. Can you download every enquiry and remark if you leave?
- Reminders. Is there an overdue list, or only a date field?
